Summary

The HR and Administration Assistant plays a vital role in supporting the HR team for an effective and smooth running of Pegasus Supported Housing Ltd. This role combines generalist HR functions with administrative support, contributing to all aspects of the employee lifecycle and day-to-day business operations.

£9,422.40 for your first year, then could increase depending on your age

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What you'll do at work

The role will be to assist and support the HR team in the carrying out the following duties.

  • Maintain and update HR systems with accurate information for new starters, leavers, and any contractual changes. 
  • Review and implement HR policies and procedures in line with external HR consultancy support. 
  • Support recruitment processes including advertising vacancies, calculating salaries, shortlisting, coordinating interview tasks, and contacting candidates. 
  • Prepare offer letters, contracts of employment, and contractual amendment letters. 
  • Process DBS checks for new starters and ensure certificate details are recorded. 
  • Maintain organised and compliant employee records, ensuring all required documentation is included and checklists are complete. 
  • Support and coordinate staff induction and orientation processes. 
  • Assist in staff development and performance management activities. 
  • Respond to general HR queries and escalate complex issues to the Service Lead, Directors, or external HR provider as required.
  • Produce HR reports such as absence statistics and staffing data for senior management. 

Payroll and Pensions Support 

  • Collate and process monthly staff mileage claims, ensuring a clear audit trail and appropriate authorisation. 
  • Input new starter, leaver, and contract change data into payroll systems and reconcile payroll monthly. 
  • Respond to payroll queries and liaise with Directors and payroll providers where necessary. 
  • Post payroll journals to the accounting system and support payroll reconciliation.
  • Monitor and query business reports related to payroll and employee data. 

Administration and Organisational Support 

  • Provide administrative support to the Service Lead and Directors across a range of tasks, including record keeping, report preparation, and correspondence. 
  • Support general business administration tasks as required, contributing to the smooth day-to-day running of the service.
  • Maintain confidentiality and ensure secure handling of all personal and sensitive information. 

General Responsibilities 

  • Participate in regular supervision and performance reviews. 
  • Ensure accurate timekeeping and record submission. 
  • Follow all Safeguarding, Health and Safety, and Data Protection policies and procedures. 
  • Promote equality, diversity, and inclusion in all aspects of the role. 
  • Take personal responsibility for professional development and remain up to date with HR best practice and legal changes. 
  • Carry out any other reasonable duties in line with the scope and spirit of the role.

Course contents
  • Service Delivery: Delivers excellent customer service on a range of HR queries and requirements, providing solutions, advice and support primarily to managers. Builds managers’ expertise in HR matters, improving their ability to handle repeated situations themselves where appropriate. Uses agreed systems and processes to deliver service to customers. Takes the initiative to meet agreed individual and team KPIs in line with company policy, values, standards. Plans and organises their work, often without direct supervision, to meet commitments and KPIs.
  • Problem Solving: Uses sound questioning and active listening skills to understand requirements and establish root causes before developing HR solutions. Takes ownership through to resolution, escalating complex situations as appropriate.
  • Communication & Interpersonal: Deals effectively with customers/colleagues, using sound interpersonal skills and communicating well through a range of media eg phone, face to face, email, internet. Adapts their style to their audience. Builds trust and sound relationships with customers. Handles conflict and sensitive HR situations professionally and confidentially.
  • Teamwork: Consistently supports colleagues /collaborates within the team and HR to achieve results. Builds/maintains strong working relationships with others in the team and across HR where necessary.
  • Process Improvement: Identifies opportunities to improve HR performance and service; acts on them within the authority of their role. Supports implementation of HR changes/projects with the business.
  • Managing HR Information: Maintains required HR records as part of services delivered. Prepares reports and management information from HR data, with interpretation as required.
  • Personal Development: Keeps up to date with business changes and HR legal/policy/process changes relevant to their role. Seeks feedback and acts on it to improve their performance and overall capability.

Training schedule

Training will be provided by CIPD platinum training provider Solihull College, and an assessor will be allocated to support you. Coaching in the workplace, on teams as well as scheduled taught sessions at the Solihull campus and time spent training will be part of the agreed working hours. At the end of your training, you will complete a consultative project and professional discussion to gain a level 3 HR support apprenticeship and a CIPD Foundation Certificate in People Practice. 

More training information

The apprentice will attend Blossomfield Campus in Solihull for one day a week for face-to-face taught sessions term time only. Remaining off the job learning hours will be spent completing assignments and projects as required.

Essential qualifications

GCSE in:

  • English (grade 4 or above)
  • Maths (grade 4 or above)

Desirable qualifications

A Level in:

Business (grade C or above)
