Summary

We are looking to recruit a Business Administration apprentice to join our friendly but busy team at Mosslands Medical Practice. As our receptionist, you will be the first point of contact for our practice. You will welcome patients and greet people who visit the surgery.

Wage

£14,918.80 for your first year, then could increase depending on your age

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What you'll do at work

Making appointments

  • Using the online booking system, our website and patient databas
  • Taking requests for prescriptions
  • Giving out results (with caution
  • Footfall / online request
  • Home visit requests
  • Deal with general enquiries and reduce complaints
  • Contacting other providers

Reception Duties

  • Initiate/guide patient registrations
  • Greet and direct patients and visitors
  • Making appointments
  • Handing out prescriptions
  • Ensure outstanding queries are explained and handed over to the next shift, as necessary
  • Respond to the needs of doctors and nurses during surgery
  • Collect payments from patients for non-NHS services
  • Deal with general enquiries and complaints

Filing

Pulling Lloyd George envelopes when requested by doctors

Prescriptions

  • Dealing with requests for repeat prescriptions
  • Raising prescriptions as per practice protocols
  • Dealing with queries relating to repeat prescriptions

General

  • Dealing with Docman/ hospital and incoming letters
  • Input and extract information from the practice computer system
  • Observe health and safety guidelines at all times
  • General housekeeping (e.g. keeping reception and waiting areas tidy)
  • Make refreshments for doctors and other team members, and participate in washing up
  • Any other reasonable duties as necessary

Safeguarding requirements

  • You must take part in all training requirements in a timely manner
  • You must take part in and CQC requirements
  • As part of your apprenticeship, you will be required to develop and lead an in-house project. This will be for you and your manager to look at and will be beneficial to both you and the practice

You must act on any concerns he/she have about the safety or welfare of a child, young person or vulnerable adult. The post holder is encouraged to speak to the Safeguarding Lead of the practice or contact the Safeguarding Team directly for further advice/guidance.

What you'll learn

Course contents
  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Training schedule

You will be studying for the Business Administration Level 3 qualification, including Functional Skills in English if required. 

This will be assessor led and will be delivered in the workplace.

GCSE in:

English and Maths (grade 3 (D) or above)
