What will the apprentice be doing?
To be the first contact point for all our customer and members of our sales team enquiries, ensuring a seamless transition from processing their requests and needs to that of the customer receiving the required information, services or goods. Promotes the company’s products and/or related services. Coordinate and manage delivery schedules of goods out.
Ensure all activities are in accordance with the guidelines of the company procedures.
CORE FUNCTIONS:
Answer the phone, respond to emails and letters focusing all efforts on ensuring prompt and accurate processing of customer requests and needs.
Expedite the resolution of customer problems and complaints.
Promote/secure orders from existing and prospective customers through a relationship-based approach.
DETAILS OF FUNCTION:
Receive customer orders via telephone, email, fax and Royal mail.
Respond to customer enquiries.
Resolving minor technical problems over the phone.
Respond to customers technical questions by reading parts diagrams and providing necessary part numbers.
Inform customers about prices, discounts and billing processes.
Process customer orders on time.
Monitor stock levels and availability.
Record and maintain records of all demonstration stock.
Organise and monitor the collection of goods for delivery to customers.
Appraise customers on alternative products when required item is not available.
Expedite the resolution of customer problems and complaints.
Implement and coordinate response to customer complaints within guidelines provided by management.
Coordinate the return and credit for warranty parts both with customers and within departments internally.
Coordinate with sales and other departments in processing orders.
Interact with Accounts receivable department regarding payments.
Maintain and update customers’ database.
Plan and support sales and marketing activities.
Prepare and circulate reports as required.
Report on all KPI’s on a monthly basis to your line manager.
Show a flexible approach to attendance patterns to meet the needs of the business.
Protect organisation’s value by keeping information confidential.
Build and maintain excellent relationships with colleagues and customers.
Assist sales personnel in establishing personal contact and rapport with decision makers.
Promotes a consultative approach to help our dealers increase our brand awareness on their websites by making recommendations for improvement.
Create and upload copy and images for the organisation’s website.
Provide marketing assistance when called upon by the Sales Director and sales team.
Collaborates with the Sales Director to develop sales strategies to improve market share and growth in all product lines.
Undertake other duties from time to time as reasonably required by line manager.
What training will the apprentice take and what qualification will the apprentice get at the end?
Level 3 Business Administrator Apprenticeship Standard, which includes:
Level 2 Functional Skills in maths, English (if not already achieved)
End-Point Assessment (EPA)
You will develop the skills, knowledge, and behaviours are required to work within an office environment
What is the expected career progression after this apprenticeship?
On completion of the apprenticeship the apprentice will have the chance to progress to a full time position within the company.
