What you'll do at work

Graceful Muse Paperie is a small, independent stationery brand based in the UK, dedicated to creating thoughtfully designed products that inspire productivity and creativity. From journaling kits and planner stickers to planners and notebooks, their collections are crafted with care to bring beauty to planners and journals all over the world.

Customer Service Duties and Responsibilities:

  • Purpose: To maintain excellent customer relationships by addressing inquiries, resolving issues, and supporting pre and post-sales communication
  • Respond promptly and professionally to customer emails and website contact form messages and resolve order issues such as missing items, wrong shipments, or delivery delays
  • Provide accurate product information, help with order placement, and assist with discount codes or promotions.
  • Track packages and assist customers with delivery issues and process refunds and credits according to store policy
  • Escalate more complex customer concerns to the business owner or manager and maintain a FAQ database and suggest improvements based on recurring questions

Operational Duties and Responsibilities:

  • Purpose: To support the backend of customer transactions and shop performance- ensuring seamless order
  • You will be processing, inventory coordination, and system efficiency and oversee the daily flow of orders and ensure they are processed accurately and on time
  • Coordinate with Production to prioritize order fulfilment and monitor inventory levels and notify the owner when stock is low or out of stock
  • Update product listings, variants, and prices on the website (e.g. when collections change or new collections launch). And assist in managing subscription orders, renewals, and failed payments

Production Duties and Responsibilities:

  • Purpose: To assist in the hands-on creation, assembly, and packaging of Graceful Muse Paperie's physical products maintaining quality and efficiency
  • Assist in preparing sticker sheets, journaling kits, and other stationary products as needed and assemble product bundles or themed boxes
  • Package orders neatly and according to brand presentation guidelines (e.g., tissue paper, thank-you notes, freebies). Ensure the workspace is organized, clean, and stocked with necessary supplies (paper, ink, envelopes, etc.)
  • Help with product labelling and inventory tagging. Perform quality control checks on finished products, flagging products that do not meet quality standards
  • Work efficiently to meet daily or weekly fulfilment goals, especially during busy seasons or new collection drops
  • Report supply issues or production errors to the Shop Owner

What you'll learn

Course contents
  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
  • Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
  • Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.
  • Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.

Other requirements

A bonus scheme which enables the team to earn a little extra during key trading period (Christmas). This is performance based and very achievable. It's based on two key metrics - orders are being fulfilled on time and accurately and all emails are responded to within 24 hours. Candidates must attend an initial interview with a member of the Bedford College Apprenticeship Recruitment Team if they meet the initial criteria as part of the recruitment process.
