The varied role will involve supporting different teams within the school, whilst working towards a Level 3 Business Admin qualification. No one day will be the same and you will support different departments to understand the business role.

What you'll do at work
You’ll be joining a school and Trust which is all about putting staff first - with numerous wellbeing initiatives and social events to enjoy each term!
We are looking for a hardworking and reliable apprentice. Good communication is very important for this role.
With the aim to develop and have more responsibility during your apprenticeship, the role will include some of the following areas:
- To provide administrative support for the main school support services
- To undertake general clerical work such as drafting letters, photocopying, laminating, filing and record keeping in line with current GDPR requirements
- Produce communications home across all comms outlets (emails, letters etc.)
- Support the set up and maintenance of student records, (primarily) on the MI system, including admission, EHCP and other relevant data from previous schools
- Ensure MI system correct before Census collection
- Support in the completion of year-end routines and updating documentation and systems as required
- Maintain student data following ad hoc request (email, Arbor etc) and annual data collection exercise
- Update student records with specific notes/queries if required
- Support all administration tasks related to Transition (Year 7 and Year 12)
- Provide administrative support to Pastoral, SEND, Sixth Form and curriculum Teams
- Support the SEND assessment process including updating student profiles, collection of information and preparation for Annual Reviews
- Send referrals to various therapy services
- Uploading reports to local authority
- Update/maintain Medical Needs Booklet
Provide administrative support to the Sixth Form Team - including the following:
- Year 12 application processes – including supporting in the organising interviews for internal and external candidates, offer letters and enrolment
- Supporting to ensure student choices fit into the timetable
- Supporting in the co-ordination and timetabling student enrichment programme
- Ensure MI system correct before Census collection - particularly Autumn
- Update course information, programme aims, learning aims16-19 tuition fund, prior attainment maths and English
- Support in the co-ordination of C6 students and associated paperwork
- Keeping Year 12 Work Experience paperwork and placement database up to date
- Supporting in the organisation of various events throughout the year, including UCAS convention, Sports Days, results and sixth form taster days
- To undertake any other general office duties or contribute to the wider operation of the school day as may be required, commensurate to the grading of the post

What you'll learn
Course contents
- Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
- Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
- Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
- Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
- Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
- Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
- Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.
- Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.
Training schedule
As a Business Administration Apprentice, you will complete the following qualifications as part of your apprenticeship:
- Level 3 Business Administrator Apprenticeship Standard
- Level 2 Functional Skills maths and English if equivalents are not already achieved
- You will also develop the skills, knowledge and behaviours required to work within an office environment
- This apprenticeship is delivered in the workplace and 20% of your working time will be dedicated towards training and learning new skills
- You will be allocated a tutor who will provide you with personal support and assessment at pre-arranged times
- Assessment is through a variety of methods including observations in the workplace, witness testimonies, product evidence and professional discussions
- All evidence will be logged to your electronic portfolio
