Summary

As a Business Admin Apprentice, you will support the day-to-day running of the organisation through reception duties, admin tasks, creating promotional content, managing social media posts, and helping to coordinate youth activities. Working directly with young people and external agencies to support their needs and community engagement efforts.

Wage

£12,955.80 for your first year, then could increase depending on your age

What You’ll Be Doing:

As our Business Admin Apprentice, you won’t just be doing admin- you’ll be right at the heart of our work. Your day-to-day tasks will include:

  • Covering reception and welcoming visitors with warmth and energy
  • Supporting with general admin duties to keep our projects running smoothly
    Assisting youth workers and setting up sessions and activities
  • Creating engaging social media posts and promotional materials
  • Working alongside external agencies and community partners
  • Helping young people feel heard, supported, and included

What you'll learn

Course contents
  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
  • Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
  • Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.
  • Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.

Training schedule

  • Full training will be given, leading to a recognised Business Administration Apprenticeship Standard Level 3 qualification
  • Full-on-the-job training will be delivered
  • Off-the-job training will be supported by our training provider - Davidson Training UK Ltd
  • You will complete the Functional Skills in maths and English up to and including Level 2 (if you don't already hold the equivalent)
  • All training will be delivered in the workplace during working hours; no college day release is required

• We are located a short walk from Upney Station and have reliable bus routes to our location. • You'll be supporting young people who may be facing challenges, so patience, empathy, and good people skills are essential. • While there are admin tasks, you’ll also help set up activities, support events, and occasionally work in lively, busy spaces. • Every day can look a little different. Being organised, adaptable, and willing to help where needed will go a long way. • Confidentiality is important, you may hear personal information from young people or partners, it’s important to handle that information responsibly.

We aim to foster learning using informal education methods and increasing opportunities. We are dedicated to supporting existing projects to maximise the young people’s potential within their communities whilst promoting and developing community cohesion. Our aim is to provide positive activities with projects ranging from the Arts, such as working with a local school to create artwork that reflects their understanding of community cohesion, a MCing music project with young people where they write their lyrics and create beats to produce music which has an anti bullying theme, healthy living projects such as boxercise for young women that also incorporates healthy eating & sexual health, to name a few. FMC currently operate in the London Boroughs of Barking & Dagenham, Havering, Redbridge, Newham and Tower Hamlets. We work with young people aged 11-21 years in Barking & Dagenham and their families and external agencies who can support our mission.
