Summary

The Purchase Ledger Clerk is responsible for ensuring accurate processing of P2P (Purchase to Pay) financial records, including supplier and expenses information. The role requires diligent completion of complex clerical and bookkeeping tasks and applying accepted procedures in preparing and maintaining accounting records.

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What you'll do at work

P2P function:

  • Check, verify and process invoices following 3-way matching process
  • Apply the correct ledger and sub-ledger coding when processing records
  • Manage discrepancies, disputes and invoice approval issues, escalating where appropriate
  • Maintain supplier records, using the company supplier maintenance processes
  • Prepare the supplier payment runs in line with the Company timetable
  • Ensure adherence to CIS legislation by ensuring that deductions are made from suppliers where required

Expenses:

  • Check and process expenses, verifying that they are in line with the Company policy
  • Manage discrepancies and approval issues, escalating where appropriate

General support functions:

  • Assist in month end reporting procedures including preparation of accruals
  • Work closely with the Purchasing department and suppliers to resolve issues and queries
  • Identify improvements within P2P and overall finance processes
  • Perform filing and general administrative tasks following Company policy and guidelines
  • Carrying out other duties as assigned or required by management within your capabilities
  • Uphold the GMI mission and values in principle and practice

What you'll learn

Course contents
  • Assist with the investigation and response to financial information queries.
  • Record and analyse financial data using the organisation’s standard tools and processes.
  • Apply double entry bookkeeping and accounting standards to process financial documents, generate financial statements and report financial information to users of accounts.
  • Assist with production of accurate financial information for the preparation of accounts.
  • Reconcile financial data, such as, preparation of reconciliations or review of reconciliations.
  • Investigate, resolve or escalate transactional queries and errors within their remit as appropriate.
  • Develop and maintain effective working relationships with stakeholders.
  • Communicate financial information in a way that non-finance stakeholders can interpret and understand.
  • Utilise digital skills to present key financial information using finance and accounting software and applications.
  • Use software packages to assist with basic accounting tasks in line with cyber and data security requirements, using data securely and safely, including backing up data.
  • Communicate using varying approaches and different media methods with an appreciation of the risks and benefits to the business of social media and other digital applications.

Training schedule

Assistant Accountant Level 3 Apprenticeship Standard:

  • An apprenticeship includes regular training with a college or other training organisation
  • At least 20% of your working hours will be spent training or studying

Requirements

Essential qualifications

GCSE in:

  • English (grade GCSE level C/Grade 4 and above)
  • Maths (grade Level C/Grade 5 and above)

Share if you have other relevant qualifications and industry experience. The apprenticeship can be adjusted to reflect what you already know.

Other requirements

What you can do: • Previous experience within P2P or similar Finance or administrative position would be advantageous • Experience using Microsoft Business Central or Microsoft D365 accounting software would be advantageous •Have, intend to study for, or be studying for an accounting qualification.
