What you'll do at work
Our Commercial Express office enjoys a enviable position overlooking the canal on the Waterfront business complex in Brierley Hill.
To help maintain a collaborative work environment, you would play an integral part within the HR and Facilities team to ensure the office was warm and welcoming to our people and visitors.
Facilities Management:
- Liaise with external suppliers on building maintenance tasks and budget considerations.
- Coordinate the maintenance schedules for servicing of Lift, Boilers, Fire Systems, Air Conditioning, Security Alarm, Equipment etc.
- Monitor renewals of facilities contracts, reviewing costs and working within budgets.
Office Environment:
- Monitor and stocktake office consumables.
- Assist with office Health & Safety walkarounds and record keeping.
- Assist with covering the office entrance buzzer and welcoming visitors.
- Monitor the office planner for Health & Safety cover.
General HR and Facilities:
- Assist with the booking and research of offsite meetings/rooms/travel.
- Assist with the promotion of wellbeing activities and topics.
- Assist with social events, budgeting and speaking with suppliers.
- Enhance employee wellbeing through monitoring of time off balances, time clocking and timesheets, assistance with month end reporting.

What you'll learn
Course contents
- Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
- Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
- Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
- Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
- Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
- Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
- Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.
- Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.

As part of this programme, you will complete the Level 3 Business Administrator Apprenticeship Standard.
The Business Administrator apprenticeship programme is the perfect entry into a professional working environment. It will provide the opportunity to develop knowledge, skills and behaviours that are desirable within any business sector and will also provide foundation skills that can be developed and built on to progress into supervisory roles.
Training schedule has yet to be agreed. Details will be made available at a later date.
The apprenticeship provides an insight into the business environment and influences, it will lay the foundation knowledge for success.

Other requirements
Due to FCA regulations, Apprentices will be required to conduct basic Finance and DBS checks. Commercial Express will arrange and pay for these checks. Commercial Express offers hybrid working which is the ability to work from both the office and home if desired, or they can work in the office every day. Initially Apprentices will be fulltime office based to help build relationships and effective training. In time they may have the opportunity to work from home up to 3 days a week if they wish and have suitable working environment. Apprentices would receive Health and safety training to assist in their home DSE setup and required to complete a home risk assessment. All IT equipment would be provided to facilitate both office and home working.

Our CE Learning platform will enable apprentices to participate in a wide range of soft skill and technical courses to aid their continuing professional development.
Through having exposure to various department functions in Commercial Express, permanent fulltime opportunities may be available following successful completion of the apprenticeship program and achieving the Business Administration standard.
