Summary
We are seeking a motivated and reliable Apprentice Office Administrative Assistant to join our team. Key duties include answering and directing phone calls professionally, greeting and assisting visitors, handling mail and deliveries, maintaining accurate records and carrying out other general office duties.

Work
Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.
What you'll do at work
- Answer incoming telephone calls in a professional manner and direct calls or take messages as appropriate
- Greet and assist visitors to the office
- Carry out general office duties including filing, photocopying, scanning, and data entry
- Maintain and update records, ensuring accuracy and confidentiality
- Support colleagues and management with administrative tasks and projects as needed
- Monitor and order office supplies as required
- Assist in maintaining a clean and organized office environment
- Use Microsoft Office applications (Word, Excel, Outlook) to carry out daily tasks
- Handle incoming and outgoing mail and deliveries

- Depending on your job role and work environment: Use an appropriate ‘tone of voice’ in all communications, including written and digital, that reflect the organisation’s brand.
- Provide clear explanations and offer options in order to help customers make choices that are mutually beneficial to both the customer and your organisation.
- Be able to organise yourself, prioritise your own workload/activity and work to meet deadlines.
- Demonstrate patience and calmness.
- Show you understand the customer’s point of view.
- Use appropriate sign-posting or resolution to meet your customers needs and manage expectations.
- Maintain informative communication during service recovery.
