Summary

The people assistant plays a key role supporting the People team and wider business to deliver our business and people objectives, and providing a customer focussed service, across all areas of the employment life-cycle.

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What you'll do at work

  • Provide professional and confidential HR administration across the full range of HR activity; including terms and conditions of service, benefits provision, recruitment, onboarding and payroll.
  • Manages the people team inbox effectively, seeking support from the wider team and referring queries as needed.  As the initial point of contact for employees at all stages of their employment, it is essential that this role develops and maintains positive and effective relationships with colleagues.
  • Maintains current and accurate information within the HRIS and shared drive and produces robust management information aligned to business needs.  Maintaining data protection at all times.
  • Supports the timely and accurate processing of our payroll and production of relevant HR correspondence and contractual documents.
  • Providing admin support to the team, including arranging meetings and minute-taking;
  • Learns and understands our organisation and our customers/members, ensuring our people and our customers at the heart of what we do.
  • Understanding and following Company policies to support our people.  Developing capability to advise the wider business on policy. 
  • Supports recruitment, including; advertising vacancies, send out offer packs, confirm staff probations.
  • Regularly contributes across the People team as a whole, recommending improvements to systems and procedures to improve efficiency in the department.
  • Undertakes project work when required.

Course contents
  • Service Delivery: Delivers excellent customer service on a range of HR queries and requirements, providing solutions, advice and support primarily to managers. Builds managers’ expertise in HR matters, improving their ability to handle repeated situations themselves where appropriate. Uses agreed systems and processes to deliver service to customers. Takes the initiative to meet agreed individual and team KPIs in line with company policy, values, standards. Plans and organises their work, often without direct supervision, to meet commitments and KPIs.
  • Problem Solving: Uses sound questioning and active listening skills to understand requirements and establish root causes before developing HR solutions. Takes ownership through to resolution, escalating complex situations as appropriate.
  • Communication & Interpersonal: Deals effectively with customers/colleagues, using sound interpersonal skills and communicating well through a range of media eg phone, face to face, email, internet. Adapts their style to their audience. Builds trust and sound relationships with customers. Handles conflict and sensitive HR situations professionally and confidentially.
  • Teamwork: Consistently supports colleagues /collaborates within the team and HR to achieve results. Builds/maintains strong working relationships with others in the team and across HR where necessary.
  • Process Improvement: Identifies opportunities to improve HR performance and service; acts on them within the authority of their role. Supports implementation of HR changes/projects with the business.
  • Managing HR Information: Maintains required HR records as part of services delivered. Prepares reports and management information from HR data, with interpretation as required.
  • Personal Development: Keeps up to date with business changes and HR legal/policy/process changes relevant to their role. Seeks feedback and acts on it to improve their performance and overall capability.

In order to meet the eligibility criteria for an Apprenticeship in England, you must be able to demonstrate at least three years UK residency or hold a valid visa that meets the exceptions to this rule. 

Please note, as part of the Initial Assessment process, all qualifications will be verified by the Learning Records Service (LRS) via Department for Education.
