Summary

We are seeking a dedicated and detail-oriented Finance Assistant to support the administration of our finance department. This role will be integral to ensuring the smooth operation of financial processes, assisting with billing system updates, managing the purchase ledger, handling queries, and supporting purchasing activities.

What you'll do at work

Detailed Responsibilities:

Billing System Management:

  • Assist in updating and maintaining the billing system to ensure that billing data is processed accurately and efficiently
  • Make adjustments when necessary, verifying accuracy and troubleshooting discrepancies
  • Support financial reporting related to billing processes, ensuring up-to-date documentation

Purchase Ledger Maintenance:

  • Support with the process of purchase invoices and ensure timely input into the financial system
  • Match invoices with purchase orders and resolve any discrepancies
  • Ensure that the ledger matches supplier statements
  • Liaise with suppliers to handle invoice queries

Handling Financial Queries:

  • Act as the first point of contact for internal and external finance-related queries
  • Provide assistance in resolving discrepancies related to invoices, transactions, and payments
  • Collaborate with teams to improve financial processes and provide solutions to common queries

Support in Purchasing:

  • Assist in procurement activities, ensuring that purchasing records are maintained accurately
  • Help with analysing supplier costs and driving down costs of hardware purchases

What you'll learn

  • Assist with the investigation and response to financial information queries.
  • Record and analyse financial data using the organisation’s standard tools and processes.
  • Apply double entry bookkeeping and accounting standards to process financial documents, generate financial statements and report financial information to users of accounts.
  • Assist with production of accurate financial information for the preparation of accounts.
  • Reconcile financial data, such as, preparation of reconciliations or review of reconciliations.
  • Investigate, resolve or escalate transactional queries and errors within their remit as appropriate.
  • Develop and maintain effective working relationships with stakeholders.
  • Communicate financial information in a way that non-finance stakeholders can interpret and understand.
  • Utilise digital skills to present key financial information using finance and accounting software and applications.
  • Use software packages to assist with basic accounting tasks in line with cyber and data security requirements, using data securely and safely, including backing up data.
  • Communicate using varying approaches and different media methods with an appreciation of the risks and benefits to the business of social media and other digital applications.
