The Receptionist/Administrator reports to the Office Manager at all times in relation to their responsibilities and performance. The position will be based at the Company’s head off in Stratford.



Responsibilities can be broken down as follows (although these are not exhaustive):







• Be responsible for the opening and correct distribution of all post recieved at STM Head Office, ensuring the MD & Management Team is kept informed of all letters of importance to the company.



• Ensure daily outgoing post is ready for processing by 16:30 and be responsible for the ordering and logging of all couriers for Head Office. Posting of packages and recorded delivery post, ensuring that all items are logged.



• Receive and process incoming telephone calls for the Office and where instructed retrieve all voicemail messages/emails for absent personnel and process in line with Company Policy.



• Ensure an efficient and timely message service is maintained to enable both routine and urgent messages to be passed to all personnel with minimum delay.



• Undertake specific projects as directed by the Directors from time to time



• Maintain head office visitor register



• Prioritising tasks



• Maintain an effective Company filing system (both electronic and hard copy).



• Ensure all office systems and procedures are correctly implemented.



• Co-ordinate office stationery, printing and furniture etc requirements.



• Ensure refreshments are in constant supply in the office for board meetings and for other visitors as required.



• Control of uniform room



• Ensure the office/kitchen remains clean and tidy at all times.



• Report all equipment/building problems in the department to the Commercial Director.



• Making of tea and coffee for Directors



• Collecting lunch for the Directors



• Researching Hotel, restaurant, flight, bookings etc and making reservations as requested



• Manage bookings for meeting rooms



• Holiday dates kept updated on a summary calendar for all head office staff



• Stationary, uniform and equipment orders



• Assisting with the arranging corporate events



• Preparation of any letters or minutes



• Control of spare keys for the office



• Collation of CV’s/job application from officers applying for position



• Photocopying, printing as requested



• Arranging staff award ceremonies



• Logging rubbish weight



• Purchasing of cards, cakes for office celebrations







Carrying out any other reasonable request of a member of management

From October 1st 2015 the National Minimum Wage (NMW) for Apprentices is £3.30 per hour. This applies to 16-18 year old Apprentices and those aged 19 and over in the first year of their Apprenticeship. For all other Apprentices the National Minimum Wage appropriate to their age applies.
The wage for Apprentices applies to both time spent on the job plus time spent training.
