What you will do in your working day

  • Assisting with answering and directing incoming telephone calls through from the incoming line
  • Greeting visitors, managing signing in/out book and assisting with visitors when on site
  • Maintaining front door and stores deliveries
  • Completing administrative tasks such as filing, deliveries and collections, and accepting incoming mail
  • Processing of Incoming post to date stamp and distribute to company director
  • Log and record all deliveries at reception or stores and communicate to staff about incoming deliveries
  • Management, upkeep and ordering of Office Stationery and Welfare supplies including printer toners, tea coffee etc.
  • Assisting with IT Management - Record Keeping and logging as well as procurement of equipment when instructed, point of contact for IT support
  • Ensuring general office maintenance and checks are carried out and completed as required
  • Assisting with HSEQ Administration & Filing including the updating of record sheets and HSEQ Dashboard
  • Assisting with Recording of Playfords Carbon Footprint
  • Assisting with Website & Social Media Account Management
  • Administration of new Starter paperwork and booking inductions, organising equipment for new starters
  • Organisation of vehicle fleet changes with garage and internal staff
  • Arranging hospitality functions such as the company Christmas party, catering for meetings, birthday cards for staff etc.
  • Management of the email account
  • Booking of meeting rooms and spaces for external visitors
  • Assistance with procurement of Playfords required service provisions i.e. energy quotes, mobile phone contracts etc.
  • Assisting to organise and ensure completion of annual equipment calibration
  • Responsible for taking reasonable care for the health and safety of yourself and other people who may be affected by your acts or omissions at work. Ensure compliance with legislation, standards, and the companies ISO:45001 Standard
  • Responsible for ensuring that waste is disposed of correctly in accordance with the company’s Environmental ISO:14001 Standard
  • Adhere to Playfords Quality Processes and Procedures in accordance with the companies Quality ISO:9001 Standard
  • Implement and act in accordance with the company Information Security procedures. Protect assets from unauthorised access, disclosure, modification, destruction or interference
  • Report security events or potential events or other security risks to the organisation
  • With mentoring support, to lead on projects for administrative improvements within the office as part of the apprenticeship

The training you will be getting

The practical period is the time dedicated to the development of the knowledge, skills and behaviours for your apprenticeship which includes the following components:

  • Level 3 Diploma in Business Administrator (optional)
  • Business Administrator - Knowledge, Skills and Behaviours
  • Functional Skills maths and English Level 2 (exemptions apply)
  • The apprentice would be assigned a Business Services assessor through the college, who would typically come out to visit in the workplace to assess workplace competence
  • The knowledge side would be provided via workshop remote sessions, assignments, evidence of workplace competence. Portfolio would be checked via an online Smart Assessor
