What you will do in your working day

  • Using PS Financials system to record all financial transactions such as:

Process requisitions and purchase orders to suppliers following Budget Holder authorisation, checking product details and the correct nominal codes have been used.

Record the delivery of items and services, and process supplier invoices, following appropriate controls and procedures ensuring all invoices are posted with the correct nominal codes.

To record all staff expenses claims using the correct nominal codes, checking receipts and Budget Holder authorisation before processing.

To prepare weekly BACS Run Paylists and Reports and upload the payment file to the Bank. To post the Paylists to the Cash Book and send out remittances to suppliers.

To raise sales invoices using the correct nominal codes and send out to suppliers.

To process budget journals for the monthly reprographic charges between various departments.

  • To process credit card transactions; recording expenses and checking receipts, and completing the transaction log, supporting the reconciliation of accounts monthly, ensuring the correct nominal codes are used.
  • To ensure all cash banked by individual schools is receipted and recorded correctly, reconciling cash collection sheets with the Trust Bank account.
  • To ensure all monies collected via the Arbor Parent Portal by individual schools is receipted and recorded correctly, reconciling Arbor reports with the Trust Bank account.
  • To carry out monthly credit control checks including reviewing outstanding purchase orders reports, checking all supplier statements, and chasing Debtors with overdue balances.
  • To answer financial queries raised by stakeholders, and to investigate any discrepancies, and to ensure corrective action is taken where necessary.
  • To produce various reports for stakeholders (including school trips) and be able to manipulate and interpret financial data using spreadsheets, to provide reconciliation, and sound financial advice to users.
  • To maintain accurate and appropriate financial records. Assisting at year end for Audit checks; supporting the wider team with financial information.
  • To ensure that day to day work is carried out in line with the agreed policies and procedures and quality of standards,
  • To perform other tasks as required by colleagues/ senior members of the team.

The training you will be getting

  • Accounts or finance Assistant (level 2) Apprenticeship Standard
    AAT Level 2 Certificate in Accounting
  • You will attend training provided by Coventry and Warwickshire Chamber Training once a week, Commerce House, 123  St Nicholas Street, Radford, CV1 4FD

What to expect at the end of your apprenticeship

A permanent role within the business with career progression and the opportunity to complete AAT Level 3.
