What you will do in your working day

Key Responsibilities:

ABSENCE MANAGEMENT

  • Actively monitor the absence line daily and produce a daily absence report for the staff hub;
  • Chase outstanding return-to-work declarations with the employee or relevant line manager;
  • Ensure the Absence Procedure is followed and where absence indicators require additional action to follow up appropriately;
  • Maintain absence records for internal and payroll purposes;
  • Provide guidance to line managers on ‘Return to Work’ procedures ensuring that the Trust’s policy and procedures are fully complied with;
  • Create absence reports;
  • Provide the HR Advisor/HR Operations Manager with administrative support when processing occupational health referrals.

 


GENERAL HR ADMINISTRATION

  • Monitor the central HR email inbox, responding to queries and assigning actions.
  • Taking responsibility for the administration of staff development and in-service training (including mandatory training), ensuring all records are kept up to date and reports produced as required, liaising with the Group Director, People regarding any potential costs;
  • Be responsible for the preparation and issue of appropriate contractual documentation in relation to appointments, terminations and variations of employment including accurate and timely notification to payroll;
  • Be responsible for the maintenance of all paper and electronic personnel records in relation to variations of employment, change of personal details, monitoring of support staff leave entitlement, keeping accurate records of all staff absence and terminations;
  • Process annual updates on the Trust HR Software to include bank holidays, term dates etc.;
  • Monitor probationary periods and Performance Development Reviews (PDRs) for all staff and ensure that reviews are carried out in a timely manner;
  • Provide administrative support when required to support investigations, hearings etc.
  • Oversee exit interview administration processes;
  • To be responsible for updating the Single Central Register (SCR) in accordance with the Safer Recruitment Policy;
  • Produce HR reports and statistical returns as required by the Trust and outside bodies;
  • Acting as secretary to appropriate committees and meetings including the provision of agendas, reports and minutes;
  • Deal with telephone enquiries, distribution of mail, correspondence and liaison between internal/external parties as appropriate.

RECRUITMENT

  • Assist in the recruitment of all new staff and volunteers in line with policies and procedures on Safer Recruitment and Selection, posting adverts, setting up shortlisting meetings and interviews as appropriate in liaison with the selection panel;
  • Ensure that all interview paperwork is up to date, complete and retained in accordance with the Safer Recruitment Policy and the Fair Processing Notice;
  • Assist in processing DBS and safer recruitment checks in line with current guidance;
  • Assist the preparation and issue of appropriate contractual documentation in relation to appointments including accurate and timely notification to payroll as appropriate;
  • Assist in the maintenance of all paper and electronic personnel records in relation to appointments, including set up on the HR/Payroll software, self-service and all relevant training and welfare platforms;
  • To assist in the delivery of new staff induction, including the set up of online training and induction packs as necessary;

 


Full training will be given in order to complete the above duties to the best of your ability. Lighthouse Learning Trust and Boom Training will provide ongoing support and guidance to help you with your apprenticeship studies.

  • A skills-based qualification in HR Support Level 3
  • A knowledge-based Qualification HR Support
  • A behaviour-based Qualification in HR Support
  • Functional Skills English (unless exempt)
  • Functional Skills Maths (unless exempt)

What to expect at the end of your apprenticeship

If the apprentice proves to be successful with their duties during the apprenticeship, the role would be expanded beyond the apprenticeship.

The Lighthouse Learning Trust registered address is, St Vincent College, Mill Lane, Gosport PO12 4QA but the main office for this post will be at Richard Taunton, Hill Lane, Southampton SO15 5RL although some travel to St Vincent is expected.
