Your role will involve the development and improvement of current administrative services whilst managing your workload effectively and meeting deadlines. Customer service skills are paramount as you will be the first point of contact for a range of service users.

What you will do in your working day
Main Duties:
- To contribute to the overall ethos/work/aims of the Pre School
- To establish and maintain constructive working relationships whilst communicating with other agencies/professionals
- To carry out reception duties including meeting and greeting visitors, dealing with incoming and outgoing calls
- To always act in a professional manner, communicating effectively with service users, colleagues and partners
- To always ensure that you adhere strictly to policies and procedures in respect to safeguarding of children
- To ensure the Pre School visitor protocol is complied with, including the issuing of visitor badges
- To ensure that the office and corridor creates a good impression for visitors
- To take clear messages and to pass these onto the relevant person for action
- To contribute to the premises and office management such as ordering supplies and checking stock
- To provide general clerical/admin support e.g scanning, photocopying, printing and laminating
- To assist with raising monthly invoices
- To maintain manual and computerised records
- To undertake filing ensuring confidentiality is maintained
- To produce flyers for upcoming events and to assist with the monthly newsletter
- To distribute documents to parent/carers/other agencies.
- To communicate via e mail ensuring effective and professional content
- To undertake typing of various documents
- To ensure registers/passwords/contact details remain updated at all times
- Update the school website, Facebook and Class Dojo accounts.
- To set out the meeting room relevant to meeting requirements
- To provide hospitality for Pre School meetings
- To support with fundraising activities and sourcing prizes
- To assist with sorting the post and sending of outgoing post
- To support staff at the start and end of day with tidying classrooms and communal areas
- To regularly monitor first aid boxes and restock as necessary identifying items for ordering
- To keep up to date with current skills by attending courses, reading documents, articles etc as required to fulfil this role and attend training to support this role
These duties are neither exclusive nor exhaustive and the post holder may be required by the Pre School Manager / Business Manager to carry out appropriate duties in the context of the job role, skills and grade.
