We are seeking a Financial Administrator to join our team. The Financial Administrator will play a crucial role in managing and organising data to support a team of Independent Financial Advisers. The individual will be responsible for receptionist operations, preparing reports, providing excellent customer service to visitors and callers.

What will the apprentice be doing?
Key Duties and Responsibilities:
- Call Handling: Manage incoming calls and redirect them to the appropriate department or personnel. Handle inquiries and provide accurate information to callers
- Make outgoing calls where required by the firm in a polite and professional manner
- Managing Appointments: Schedule, coordinate, and confirm appointments, meetings, and conference room reservations
- Mail and Packages: Receive and distribute incoming mail, packages, and deliveries promptly to the intended recipients
- Visitor Assistance: Sign in and guide visitors, ensuring their needs are met during their time at the office, including refreshments where required
- Office Supplies: Monitor and replenish office supplies, ensuring availability for staff use
- Data Entry: Accurately input and update data into the company's databases, spreadsheets, and other relevant systems
- Data Verification: Review and verify the accuracy of data entries to maintain high-quality standards
- Data Management: Organise and maintain electronic and physical files, ensuring easy retrieval and secure storage of information. Scan and file documents in accordance with the firm’s systems and procedures
- Data Analysis: Assist in generating reports and summaries based on processed data to support decision-making and business operations
- Data Security: Maintain strict confidentiality and data protection protocols to safeguard sensitive information in line with, the Data Protection Act, the firm's data protection policies and GDPR
- Adhere to confidential waste management procedures
- Data Collaboration: Coordinate with other departments and third parties to gather necessary information and ensure data accuracy
- Data: Process provider / client documentation such as policy documents and applications
- Customer Satisfaction Questionnaire: Process customer satisfaction questionnaires
- General Administration: Supporting Invest Southwest (ISW) & Will Management Services (WMS)
- Recording: Ensure all activities are recorded on the firm’s back-office system (Intelligent Office) in a timely fashion
General:
- Working closely with other teams as appropriate
- Shredding of all confidential information
- Front Desk Operations: Maintain a tidy and organised reception area, ensuring it represents the company's professionalism and values
- Policies and procedures: Maintain a detailed knowledge and understanding of the firm’s procedures, including the necessary record-keeping requirements

Level 3 Financial Services Administrator Apprenticeship Standard
- The Financial Services Administrator apprenticeship is ideal for learners beginning an entry level role in the financial sector
- As an entry level role, this apprenticeship provides the foundation knowledge, skills and experience for progression along a number of career paths. The qualified apprentice will be prepared for advancement to positions including senior administrator, mortgage adviser and financial adviser roles

Professional Qualifications:
CF1 - awarded by The Chartered Insurance Institute (CII)
- Completion of either CeMAP module 1 or CF1 will provide a solid foundation for the learner and can lead on to progression to study in other areas
- To help prepare the apprentice for the professional qualification, Apprentices are provided with Simply Academy’s qualification resource package, alongside a structured study plan supported by a series of live revision sessions with our qualified tutors
- The Apprentice is assigned a dedicated experienced mentor to guide them through the programme
- Regular scheduled interactions with the apprentice ensure they are developing the Knowledge, Skills and Behaviours required to become competent in the role
