What will the apprentice be doing?

The key tasks outlined below are those for a Business Support Administrator and you will work towards becoming competent in these areas and progressing into a Business Support Administrator role.

Export administration:

  • Process export despatches through our Sage system and produce export documentation
  • Book couriers and liaise with customer on readiness of orders and documentation
  • Track exports
  • Obtain proofs of export

Import administration:

  • Create and maintain import folders
  • Track containers and update internal systems
  • Liaise with freight forwarders and provide them with accurate import instructions
  • Process import documents

Purchasing administration:

  • Create purchase orders using our Sage system, accurately checking details against source
  • information, price lists and previous purchase orders
  • Purchase specialist items, loose tools, consumables, PPE, production and packaging

Supplies and stationery items:

  • Reconcile purchase orders with order acknowledgements, delivery notes and invoices
  • Liaise with our factory for ad-hoc parts
  • Liaise with other suppliers for prices for non-stock items

Sales ledger administration:

  • Set up and amend customer accounts
  • Process customer invoices, emailing out or submitting through online portals
  • Monitor the accounts@ email box
  • Deal with customer account/invoice queries

Purchase ledger administration:

  • Set up and amend supplier accounts, ensuring supplier forms completed
  • Process supplier invoices through Sage and validate prices with what was agreed at the time of order/quotation
  • Deal with supplier account/invoice queries
  • File supplier invoices in relevant network folders
  • Reconcile supplier statements

Digital administration:

  • Produce Excel worksheets for the production team for RFID enabled products
  • Process details in the digital system uploading certification and instruction guides as necessary

What training will the apprentice take and what qualification will the apprentice get at the end?

  • Full Business Administrator Level 3 Standard
  • All training to take place at the employers premises

What is the expected career progression after this apprenticeship?

 

You would be expected to progress into a Business Support Administrator role though there may be opportunities for other roles in other teams within the business.
