What will the apprentice be doing?
Duties include:-
- Greet patients and visitors to the practice, in a courteous manner, following appointment system procedures and visitor’s procedures
- Respond to and direct all patient and visitor requests accordingly
- Answer incoming telephone calls, ensuring calls are documented and redirected accordingly
- Ensure computerised appointment system is up-to-date, booking, amending and cancelling patient appointments, as appropriate
- Complete administration tasks. Including Repeat Prescribing, Registrations and Workflows as directed by your Line Manager
- Operate equipment in the Practice in accordance with manufactures guidelines
- Follow practice guidelines and procedures whilst using Practice software such as EMIS and Docman
- Ensure up-to-date maintenance of both computerised and manual filing systems (i.e. patient notes)
- Ensure that emails, both internal and external, to the Practice are actioned
- Ensure that daily reception duties are completed at the end of each working day
- Ensure that the Reception area and general office are kept clean and tidy
- Ensure computer equipment is operating and report any issues to management
- Identify potential problems and deficiencies of the computer system
- Advise patients of relevant charges for private services, accept payment and issue receipts keeping records of such payments up to date
- Carry out any specific C&CC tasks appropriate to role and process any relevant referrals from clinicians or directly from patients
- Ensure that any personal duties are carried out and kept up to date and where appropriate cover the duties when colleagues are on annual leave
What training will the apprentice take and what qualification will the apprentice get at the end?
Level 2 Customer Service Practitioner Standard:
Following enrolment, learners engage in a blended programme of training and support that will include attendance at group training sessions, self-directed learning, email and face-to-face support from their trainer/assessor, as well as a programme of training devised by the employer.
Completion of this apprenticeship will lead to eligibility to join the Institute of Customer Service as an Individual member at Professional level.
What is the expected career progression after this apprenticeship?
For the right applicant there will be a full time position at the end of the apprenticeship.
