What will the apprentice be doing?
Personal Assistance:
- To assist in maintaining a diary of engagements for members of the Executive Office, making appointments where necessary
- To receive incoming telephone calls, dealing directly with calls where personal knowledge of the enquiry is known
- To take minutes for meetings as directed by the Executive Office
- To receive incoming post, identify documents needing immediate attention, deal personally with correspondence within areas delegated by the Executive administrators
- To receive visitors and enquirers and undertake administrative work in connection with such visits and some social occasions
- Assist where required in the typing of correspondence and confidential material
- To take dictation (shorthand and/or audio as required) from the Executive Office to cover their meeting portfolio
- To assist in the arranging of meetings, producing agendas, reserving rooms, ordering refreshments for such meetings, including information & requirements relating to external visitors Take minutes/notes of such meetings and circulate information to the parties concerned. Ensure that members of the Executive Office (as required) have all relevant information prior to their meetings
- To maintain a filing system for the Executive Office by keeping it up-to-date and indexed. Responsibility for the safe custody of papers, including confidential items and items requiring centralised files
- To maintain a computerised filing system of all information sent out including memos, reports, letters, etc whilst also keeping a hard copy if appropriate
- To take responsibility and use own initiative when dealing with members of staff across the College Group without necessarily referring to the Executive Office members
- To ensure that all matters usually referred to the Executive Office are dealt with effectively either directly or by redirection as appropriate, in the absence of other Executive administrators
- To copy and duplicate material as required
- To arrange for the provision of any necessary stationery and other office equipment as required for this post, complying with the College ordering procedure
- To work with the Executive administrators to cover all services in the office to the Executive including cover during absence and sickness
- To work as part of a team supporting the Executive office
Planning:
- To ensure time scales are achieved on returns, agendas, reports, etc, by assisting with the brought forward system
- Assist with maintaining a reminder system so that all matters requiring attention are brought forward to the Executive Office members with relevant information
- To initiate new systems and forward planning within the delegated areas of responsibility
General:
- To provide secretarial/administrative cover across the College at certain times, particularly during staff holidays and other periods of absence
- To participate in enrolment duties when necessary
- To undertake any other reasonable duties
Other:
- To take an active part in the appraisal process
- To comply with all relevant Health and Safety regulations and assist the College in the implementation of its own Health and Safety policy
- To comply with and actively promote within their section the College’s Equal Opportunities Policy
- To participate in and contribute to the College’s in-service and training activities
What training will the apprentice take and what qualification will the apprentice get at the end?
Apprentices will be required to attend college at least x1 day per week either at Uxbridge, Harrow or Hayes Campus completing necessary mandatory training and units associated with the apprenticeship.
The apprentice will be required to complete:
- Work towards gaining a full Level 3 Business Administration Apprenticeship Qualification
- Employment Rights and Responsibilities
- Skills, Knowledge, and Behaviours
- Standard and End Point Assessment
- Functional Skills in English, Maths, and ICT (if required)
Other training will be provided by the employer as required to enable the fulfilment of the job role.
What is the expected career progression after this apprenticeship?
