What will the apprentice be doing?
Administrative Responsibilities
· To act as receptionist and welcome, assist and direct staff members in accessing their appropriate training session in the Education and Development Centre in a courteous, efficient and effective way
· To support the education team with all administrative processes relating to staff inductions, placement activities and course attendance
· Provide the Education Administration Manager with administrative support in the facilitation of Corporate induction
· Ensure the Education and Induction mailbox are closely monitored throughout the day and annotate when tasks have been actioned
· Liaise with recruitment in booking of full Trust induction for new starters and confirming attendance
· Chasing DNA’s and appropriately informing of DNA’s in relation to Induction
· Issuing of Staff ID Badge as part of Corporate induction programme
· Sizing and ordering uniforms through use of integra
· update training forms on ESR, group and book people dependent upon their compliance needs
· Ensure all answerphone messages are dealt with frequently and in a timely manner
· Collate and input course registers into ESR in an accurate and timely manner
· Request, collate and input course feedback in an accurate and timely manner
· Input mandatory training certificates/competencies into ESR in an accurate and timely manner to enable production of accurate training reports for the Board and managers
· Ensure rooms are organised in a timely manner ahead of training and left neat and tidy, windows closed and any literature/training material disposed of accordingly
· Sort EDC post and redirect if necessary
· Handling difficult situations in a calm and professional manner
· General reception/administrative duties to include maintenance of spreadsheets, databases, course attendance registers
· Prioritise own workload and maintain resources efficiently and effectively, ensuring quality within personal limits of competence
· Managing and ordering of stationery supplies for the department.
· To be flexible with work pattern and to cover staff shortages due to sickness or annual leave
· To report as soon as possible all hazards and defects and take appropriate action where applicable
· Replenish and maintain Education resources/materials in the Centre and on the information stand
What training will the apprentice take and what qualification will the apprentice get at the end?
Formal training is delivered at HWGTA, located in Hereford (HR4 9SX)
You will receive a training plan that is specific to your qualification, with sessions that are delivered through a combination of face-to-face and remote.
Additional training for functional skills in English and Maths will be undertaken if needed.
You will receive monthly visits from your assigned Learning and Development Specialist, who will set you work, monitor your development and well-being, and discuss training sessions. They will also prepare you for your End Point Assessment to gain your Level 2 Customer Service qualification.
There is also a five-day teambuilding residential trip that is held in the spring of each year.
What is the expected career progression after this apprenticeship?
The post holder will network with many staff across the Trust as part of this role.
A full-time role could be offered on successful completion of the apprenticeship.
