What will the apprentice be doing?

Job purpose:

  • Greet patients and visitors in an efficient and courteous manner
  • Provide an effective and polite telephone enquiry service
  • Proactively communicate information between relevant patients, doctors and professionals

Main Duties and Responsibilities:

General administration duties include:

  • Sending letters as instructed
  • Coding Patient information
  • Scanning and filing documentation
  • Handling incoming post
  • Franking outgoing post

Reception duties include:

  • Greet patients and visitors to the practice and make sure the reception area is kept tidy at all times
  • Make sure patients book themselves in and all visitors are signed in per practice appointments and visitors’ procedures
  • Respond and/or redirect all patient and visitor requests accordingly
  • Booking, amending and cancelling patient appointments
  • Extract patient’s records if requested and prepare any other papers needed for the Consultation or Medicals
  • Issue and supply prescriptions and distribute accordingly (EPS)
  • Answering incoming telephone calls, ensuring calls are documented and redirected accordingly
  • Administration duties including E-consults, Footfall and Accurx
  • Check daily task and always complete before the end of the shift
  • Ensure the Reception Area is left tidy and ready for use by in-coming colleagues, together with any information regarding unresolved or urgent matters
  • Be prepared to carry out relief duties that may be required at times of sickness, leave or other times of staff shortage in the Practice. All relief work will be paid
  • This job description is not exhaustive and may be adjusted periodically after review and consultation. You will also be expected to carry out any reasonable duties which may be requested from time to time
  • Co-operate in all matters with other members of the Practice Team, with a view to ensuring a happy atmosphere, greater job satisfaction and, above all, ever improving patient care
  • Work safely at all times in accordance with Legislative requirements and Practice Policy and Procedures

What training will the apprentice take and what qualification will the apprentice get at the end?

Level 3 Business Administration Apprenticeship includes:

  • Functional Skills Maths and English (If required)
  • Knowledge, Skills and Behaviours - The organisation, knowledge of skills, stakeholders, IT, record and document production, decision making, professionalism, adaptability
  • Technical Competencies
  • Technical knowledge and understanding
  • End point assessment

o    Knowledge Test – A multiple choice test to last a maximum of 60 minutes- including 50 equally weighted multiple-choice questions 

o    Portfolio-based Interview – The interview is to last 30-45 minutes. A portfolio of learning is developed during the programme and provides a structure for this conversation 

o    Project Presentation – A presentation on a project they have completed or a process they have improved. The presentation lasts 10-15 minutes with a further 10-15 minutes for a Q&A session

This apprenticeship is delivered in the workplace.
