What will the apprentice be doing?
The role of the Finance Assistant is to support the processing of all purchasing information from purchase order to creditor payments and monitoring and control of Trust expenditure, supporting the Finance Team to successfully manage the budgets and outgoing resources, whilst delivering the highest standards of customer service to the schools in the Trust and other stakeholders. The apprenticeship role will work alongside the Finance Assistant, working in various aspects of this role to get a broad experience of the finance function within the Trust and may vary during the course of the apprenticeship.
Main duties and responsibilities:
- This is a key support role that underpins Financial Operations, ensuring that processing is kept up to date and that accounting records are accurately input to the finance system, in line with
- Trust policies. Day to Day supervision of the role is carried out by the Senior Finance Officer with reporting to the Finance Director.
- To assist with timely and effective first-line support to all academies and staff within the Trust.
- To be fully aware of the Trust financial procedures and policies.
- To deal with all day to day financial matters including correspondence, purchase orders, staff invoices, staff expenses and payments in accordance with Trust procedures and policies.
- To input all financial data into the Trust finance system and ensure that documents are maintained and filed as appropriate.
- To communicate effectively with creditors for all purchases and account queries, placing orders and arranging returns and ensuring that accounts are managed effectively and all invoices, credit notes and refunds are received and processed in a timely fashion.
- Producing regular payment runs in accordance with agreed procedures and timescales, notifying suppliers and posting to the bank account on a weekly basis.
- Management of secure payment for goods using the Trust debit card where appropriate including posting of invoice to the finance system.
- Monthly review and reconciliation of aged creditor report and open purchase orders report ensuring that the outstanding position for the Trust is kept up to date and corrected where required.
- Providing training and support on finance systems (PSF and Evolve) to Trust and school staff.
- Processing monthly claims online for nursery milk.
- Ongoing maintenance of the contracts register for all new and renewing contracts.
- Raising Sales invoices (non-lettings related).
- Processing income receipts to the bank account from remittances provided by ESFA, LA, parent payment settlements and childcare income.
- To participate in supporting of school based events.
- To assist the Finance Team with ad hoc tasks as deemed appropriate.
What training will the apprentice take and what qualification will the apprentice get at the end?
L2 Accounts/Finance Assistant Apprenticeship Standard
This level is ideal for existing staff or new talent in accounting and finance. Their work could include basic bookkeeping activities, working with sales and purchase ledgers, running calculations to ensure that records and payments are correct, recording of cash and data entry. Learners will complete the mandatory AAT Level 2 Certificate in Accounting.
The Certificate in Accounting comprises of four exams and an End Point Assessment. You must successfully complete the following:
- Introduction to Bookkeeping (ITBK)
- Principles of Bookkeeping Control (POBC)
- Principles of Costing (PCTN)
- Business Environment (BESY)
- EPA - In Tray exercise
Training will be provided by attending either face-to-face classroom based lessons, Live Online sessions or OnDemand. An apprenticeship has to be relevant to the job you are undertaking and you must dedicate 20% of your time towards it.
