The Finance Administration Apprentice will support the administration of financial transactions and input to financial systems; assisting with maintaining accounting records, performing reconciliations and appropriate controls. In addition, they will provide other related administrative support and work with the wider Finance team.

What will the apprentice be doing?
Financial Transactions:
Purchase Ledger:
- Access Finance inbox and extract invoices from suppliers
- Scan and shred any physical invoices received and communicate with suppliers to request electronic copies
- Circulate invoices to delegated member of management via Adobe Sign for authorisation
- Collate authorised invoices and process for weekly payment run
- Enter proposed payments onto Lloyds Bank On-Line system
- Electronically file authorised invoices
- Post invoices and payments onto Sage 50
- Send remittances to suppliers
- Respond to queries from suppliers
Bank Reconciliations:
- Prepare daily bank reconciliations
- Resolve any differences in conjunction with the Finance Manager
- Post as appropriate to Sage 50
Sales Commission Process:
- Provide support to the Lottery Sales Commission Administrators by updating spreadsheets and generating information from the Databases as required
- Provide holiday / sickness cover for the Lottery Sales Commission Administrators
- Send out purchase orders to fundraising contractors
- Checks invoices received against orders, post onto Sage 50 and raise payments on a weekly basis
Familiarisation:
- Read and understand finance procedures and process notes
- Train on the Donorflex database to be able to extract reports and information
- Spend time in other departments to understand the interaction of them with the finance function
- Make suggestions for improvement in processes
Other:
- Participate in Organisational Task and Finish Groups and other activity to improve organisational efficiency and effectiveness
- Any other reasonable duties as required by the Finance Manager, Management Accountant or Director of Finance and Operations from time to time

- Weekday classroom courses (block release) at First Intuition Chelmsford working towards the AAT Level 3 qualification as part of the level 3 Assistant Accountant Apprenticeship
