What will the apprentice be doing?
General administration duties:
- File and retrieve medical records (paper and digital type)
- Scan and store patient-related communications, ensuring timely and equal distribution to medical staff
- Scan and file any other patient-related data, to the patient’s record
- Issue repeat prescriptions received each day
- To liaise with patients and chemists with queries and requests
- Process requests for patient data or notes, whether from patients themselves, solicitors or insurance companies, ensuring adequate patient consent is received and patients are aware of its implications
- Generate invoices as necessary for reports and record
- Monitor email and respond accordingly
- Record and process consent forms and questionnaires
- Assist with the production and updating of protocols and procedures as required
- Assist Practice Manager / Deputy Practice Manager with administrative tasks as required
Reception duties:
- Ensure effective and efficient reception service is provided to patients and any other visitors to the practice
- Deal with general enquiries
- Deal with general enquiries
- Use your own judgment and communication skills to ascertain the best outcome for patients with no prior appointment booked
- Explain practice procedures to new patients regarding all aspects of the services provided, including temporary residents
- Receive and make telephone calls as required. Take messages making sure all are passed promptly and to the appropriate member of staff
- Advise patient of other services offered by outside agencies
- Enter patient information on to the computer as required
- Ensure all relevant information given by patients is updated immediately
- Liaise with Duty Doctor, admin and nursing teams in an appropriate manner
- Undertake any other additional duties appropriate to the post as requested by the Reception Manager, Practice Manager and Partners
Additional tasks required at level 3 may include:
- Producing documents
- Preparing notes
- Organising and co-ordinating events and meetings
- Developing and delivering presentations
- Setting up and maintaining filing systems
- Using a variety of software packages
- Updating information
- Managing small projects
- Supervising other staff / volunteers or office juniors
What training will the apprentice take and what qualification will the apprentice get at the end?
Level 3 Business Administrator apprenticeship standard.
Training to be provided in the workplace, usually over 18 months.
You will be supported by a Wiltshire College Assessor.
What is the expected career progression after this apprenticeship?
