What will the apprentice be doing?
- Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies
- Providing real-time scheduling support by booking appointments and preventing conflicts
- Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations
- Screening phone calls and routing callers to the appropriate party
- Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research
- Greet and assist visitors
- Maintain polite and professional communication via phone, e-mail, and mail
- Anticipate the needs of others to ensure their seamless and positive experience
- Draft letters/documents as required
- Deal with telephone and email enquiries, using an email system (e.g., Outlook)
- Organise and store paperwork, documents, and computer-based information
- Onboard inspectors from around the globe using the company onboarding procedure
- Be aware of the company GDPR policy and how to use it as well as communicating it to all interested parties
- Review CVs for qualifications and competencies
- Populate global inspection matrix with inspectors’ personal details, qualifications, and competencies
- Create and maintain CV filing systems for each inspector per country
- Partake in internal auditing of the quality management system and assist the quality manager
- Update diaries and arrange appointments
- Schedule and attend meetings, create agendas, and take minutes if required
- Liaise with staff in other departments and with external contacts
- Arrange meetings if required
What training will the apprentice take and what qualification will the apprentice get at the end?
Business Administrator Level 3 Standard.
- Maths and English to Level 2 required, if not already achieved
- Knowledge, Skills and Behaviour in relation to customer service principles and practices business principles technical competencies knowledge and understating research activities commercial awareness
- Managing challenging situations and taking ownership health and safety
- Ongoing assessment by the employer and provider - for example meetings with apprentice, employer and learning provider, observations of workplace, gathering evidence
- Undertake a self-assessment in the last month of their apprenticeship to enable them to see whether they are confident that they have taken on board all aspects of the occupation
This self-assessment must be submitted to the independent end point assessor as a source of evidence to prepare for independent End Point Assessment which will include a showcase portfolio; a project; an employer reference and a structured interview about their portfolio and project.
