What will the apprentice be doing?

As a busy People & Culture team we really need your help in supporting us. Working alongside the administrator you will support employee lifecycle activities and support the wider team with a variety of tasks, including arranging and supporting meetings, diary management, filing, photocopying and scanning and acting as the first point of contact for day-to-day calls and queries. You will help the administrator manage the email inboxes and look at ways in which we can improve our processes. Comfortable with data, you will help to prepare reports.
Primary purpose of post 

  • To provide an accurate, timely and professional People & Culture administration service
  • Dealing with face-to-face, telephone and email enquiries in a timely manner
  • To undertake and support a wide range of administrative tasks including maintaining various HR Information Systems (HRIS) and employee files, arranging meetings and note taking, compiling statistics and reports and supporting compliance processes
  • To support the key administrator for the HR and Payroll system; XCD liaising with the Payroll Officer as necessary
  • To provide administrative support to the wider People & Culture team and support with various projects and bespoke pieces of work

Principal Responsibilities:

  • To undertake administration for all aspects of People & Culture work across YMCA Robin Hood Group and all subsidiaries
  • To be provide support for all email correspondence to and from the P&C inbox and to develop and maintain all people systems
  • To arrange meetings, book rooms, meet and greet visitors and take notes for the People & Culture team
  • To support the administrator in providing statistical information including staff turnover, sickness absence, performance indicators, employee engagement and demographic composition
  • To process invoices and maintain financial records relating to People & Culture expenditure and activity
  • To ensure all electronic employee and casual worker personnel files are accurate, complete and up to date in line with Data Protection and Ofsted requirements at all times
  • To administer and monitor employee benefit schemes
  • To maintain, update and promote the YMCA Robin Hood Group intranet pages
  • To undertake research, complete surveys and benchmarking on various People issues
  • To work with the Business Partners to improve P&C processes to maximise efficiency and enhance the customer experience


  • To support the Talent Acquisition Business Partner during the end-to-end recruitment process
  • Supporting outreach activity such as co-ordinating and attending job fairs and careers events
  • Undertaking compliance checks and supporting recruitment related activity via the Applicant Tracking System (ATS)

Learning and Development:

  • Under the direction of the Associate - Learning & Development be responsible for the promotion, arrangement (including making room bookings, checking availability of trainers, inviting employees), monitoring and evaluation of the Corporate Learning & Development schedule
  • To support the Associate – Learning & Development with the organisation, administration and monitoring of our Corporate Welcome sessions
  • To maintain training records for all employees and undertake all administration in relation to internal and external training
  • To provide general administrative support to the wider People & Culture team in regard to Learning & Development 
  • To take responsibility for your own learning, ensuring modules are completed on time and attending college as expected

What training will the apprentice take and what qualification will the apprentice get at the end?

Level 3 Business Administration apprenticeship standard, which includes:

  • Level 1/2 Functional Skills in maths and English (if required)
  • End-Point Assessment (EPA)

This apprenticeship will be delivered in the workplace. You will have a dedicated assessor who will provide guidance and monitor progress throughout. You will have access to an online portfolio to allow you to monitor your progress and log work completed.
