We are looking for someone to support the current Legal Administrator in the Employment Team. We offer a HR subscription service to Employers and this role will predominately deal with the administration of our clients’ subscriptions to include dealing with clients on a daily basis by phone and email.

What will the apprentice be doing?

The following duties, responsibilities, lines of accountability, objectives, skills, knowledge and experience will probably change as the Firm and you continue to develop. 


1. To provide audio typing and administrative support to all fee earners within the Employment Department as requested;


2. To ensure all work is undertaken promptly, efficiently and with a high level accuracy


3. To be responsible answer telephones within the Department and direct to the relevant fee earner.  Where the fee earner is not available to take a detailed message and email to the fee earner;


4.Assisting and supporting all fee earners with filing;


5. To work with the Team Legal Administrator to:-


3.1 Prepare Alpha quotations;


3.2 Send Alpha renewal documentation to all existing Alpha members, to include follow ups;


3.3 To prepare Premium Credit quotations through to submitting to Premium Credit for payment and following up to ensure payment received;


3.4 To make appointments for new and existing clients and others making use of the electronic diaries for fee-earners within the Department;


3.5 To carrying out conflict of interest checks prior to booking any appointments for new clients.  Subject to a satisfactory result, request the new client bring with them to their appointment ID and payment on account as directed by the relevant fee earner;


3.6 arranging fixed fee and Settlement Agreement  appointments;


3.7 open new client files for the Department on the SOS Case Manager system, creating physical files and maintaining such files to a high standard of organisation and presentation;


3.8 carry out Company searches against Company clients and where necessary electronic ID checks against individual clients;


3.9 ensure all client work is produced in the relevant client case plan on the SOS Case Manager system;


3.10 ensure all applications for Alpha membership (new and renewals) are processed and new files opened on the day applications are received;


3.11           complete case opening activities for all private and Alpha clients and where relevant submitting application for Legal Expenses Insurance to the Alpha Insurance Broker;


3.12 prepare initial client care documents on Case Manager for all private and Alpha files and passing to the relevant Fee Earner/Primary Advisor to approve;


3.13 make payments to the Alpha Insurance Broker of the Legal Expenses Premiums which are due;


3.14ensure all relevant SOS Case Manager activities are either completed, or if they are the responsibly of the fee earner, that they brought to their attention to provide instruction for completion, to assist with compliance of Lexcel requirements;


3.15 archive client files, preparing case closing letter to the client for approval by the relevant fee earner, checking the file is nil balanced and the relevant fee earner has signed off the archiving form;


3.16 assist in the preparation and organisation of Department marketing seminars/presentations/exhibitions and other marketing initiatives;


3.17take and produce accurate minutes at internal and external meetings as required.


6. To communicate effectively with clients, referrers, lawyers and any contacts of the Firm;


7. To comply with the systems and procedures of the Firm, as contained in the Office Manual;

What is the expected career progression after this apprenticeship?

The long term goal at the end of the apprenticeship is to offer the apprentice a permanent role a Legal Administrator, subject to success of the Apprenticeship and operational requirements.
