What will the apprentice be doing?

• Maintenance and input of staff personnel information on the Academy system in line with School Workforce Census.
• Maintenance of the Single Central Register (SCR) in line with OFSTED requirements.
• Keeping staff personnel records and files up to date.
• Ensuring that tracking and maintenance of the absence database in conjunction with legal obligations is correct i.e. requesting doctors’ certificates, referrals to Occupational Health Unit, tracking the sickness entitlement for staff and meetings with line managers and SLT.
• Liaising with the Federation HR Team regarding Employment Law matters maintaining that we always act in an appropriate and legal way i.e. grievances, dismissals, terminations, redundancies.
• Assist the Academy Leadership Team, Managers and Staff on HR related policies and procedures in line with Federation HR related policy and procedure.
• To assist the appraisal process throughout the year ensuring forms are sent out at the appropriate time, collate replies, keep accurate logs and produce final reports of grades and comments to the Academy Leadership Team.
• Assist HR related meetings in accordance with Academy policy along with taking notes during meetings

• Assist for the Recruitment process from start finish including:

–  The drawing up of job descriptions, person specifications and job adverts in conjunction with the Principal and members of the ALT
–  Placing adverts in external newspapers, external and internal websites and liaising with media or recruitment agencies as required
–  Co-ordination of interviews/selection days including, where required, sitting on the interview panel as a HR and Safer Recruitment Trained representative
–  Ensuring that offer letters and contracts of employment are drawn up, issued and responses tracked
–  Processing Work Permit Applications in line with Home Office regulations

• Ensuring that DBS checks for staff are completed in a timely fashion in line with Ofsted requirements.
• Logging and maintaining records of staff Personal Development Training, as part of the Academy process.
• Inducting new starters; processing all administration and informing of policies and procedures.
• Assisting the Academy’s Finance Team with the monthly payroll process by updating and maintaining records for new starters and leavers and unpaid absences.
• Advising on entitlements and pay and organising for Pregnancy Based Risk Assessments, further meetings also include consultations regarding Flexible Working Arrangements and KIT days.
• Ensuring that all staff HR files are in order and up to date both electronically and manually, including GDPR regulations on retainment of documents.
• Coordination of the provision of references for staff who have left our employment in line with the Equality Act (2010).
• Producing written documents as required (e.g. leavers letters, salary changes etc).
• Ensuring all documents, staff handbooks and folders, ID cards, keys, parking permits and equipment are returned from leavers.
All aspects of the above will allow for ‘on the job’ training.
