Key Roles & Accountabilities:


  • To act as first line of contact for the office for delegates, visitors and sponsors including phone call and reception duties
  • To distribute incoming post and maintain the franking machine on site
  • Order and maintain stationery for the business
  • Liaise with the appropriate contact to handle any on-site facilities
  • Assist with the management of the company’s archive system in the short, medium and long term
  • Assist with the administration of travel, accommodation and conference arrangements for the business
  • Assist in the co-ordination of bi-weekly staff meetings ensuring all reports are submitted within deadlines and producing accurate meeting minutes
  • Assist in marketing activities for the business to include, taking an active role in ensuring point of sale material is in stock and maintained
  • Maintain and tidy the breakout area for delegates
  • To liaise with customers, speakers, and business partners in an efficient manner in keeping with the company standards at all times
  • To provide information, maintain records using the resources available and carry out all duties in an accurate, efficient and timely manner
  • Data input, data extraction, photocopying, faxing, filing and typing duties as directed
  • To undertake such other tasks as may reasonably be required
  • To enhance the image and reputation of the company whilst supporting its commercial interests
  • To comply with good health and safety practice, all statutory requirements, company policies and standard procedures

  • Excellent spoken and written English
  • Demonstrable interpersonal skills and the ability to deal with individuals/customer needs/groups at all levels
  • Good level of computer literacy

Qualifications required

  • GCSEs (or equivalent) at Grade C or above in English Language and Maths.
  • For exams taken 2017 onwards you will need GCSEs (or equivalent) at grade 4 or above in English Language and Maths.


It would be advantageous to have has previous administrative work experience or work dealing with people in a retail, office or similar environment.

There may be the occasional requirement to work flexibly. Apprenticeship National Minimum Wage (ANMW): From 1st October 2016 The National Minimum Wage (NMW) rate for apprentices is £3.40 per hour. From April 2017 this rises to £3.50 per hour. This applies to 16-18 year old apprentices and those aged 19 and over in the first year of their Apprenticeship. For all other apprentices the National Minimum wage appropriate to their age applies. The Minimum Wage for Apprentices applies to time spent on the job plus time spent training.
