Duties include:
- Answering and screening telephone enquiries including those on the answer machine. Recording detailed and concise messages in the absence of managers and staff
- Covering reception and greeting visitors with a professional manner
- Maintaining stationery levels and ensuring the office is well stocked at all the time
- Assisting with general administrative duties (printing, copying, binding) and providing overall assistance
- Typing correspondences and distributing as required
- Carry out weekly fire alarm/legionella test with the Office Administrator and ensure that Access Care Plan is updated
- Issue staff ID Cards and access cards
- Keep the office key list up to date
- Booking meeting rooms/ hot desk through Outlook Calendar
- Recording incoming and outgoing post and checking incoming invoices
- Monitoring the shared Admin Outlook inbox and ensuring that all emails are dealt with in a timely manner
- Ensuring that kitchen supplies are fully stocked and topped up
- Completing an end of the day office checklist
- Ensure that reception area is tidy and presentable at all the time
- Ensure that the first aid box is always fully stocked and up to date
- Deal with incoming Accident and Incident reports
- To order health and safety items and keep stock up to date
- Taking all PPE to the store room to ensure that office and reception is tidy
- Make Petty cash payments and check the float and cash book
- Ensure all payments are processed on Access Care Plan
- To update all Admin team spreadsheets (service users contact list, houses list, stock, sickness, post, PPE etc.)
- Providing an on hand “support function” to our colleagues, service users and customers
- Any other duties as required

We're a registered charity providing support services for adults with learning disabilities in South London.
Our work is based on developing and maintaining people’s independence, having a real presence in their local community. We aim to provide the standard of service and support we would choose for ourselves or those close to us. We are registered with the Care Quality Commission as a residential and domiciliary care provider and only support adults with learning disabilities. We work in the London boroughs of Lewisham, Southwark, Greenwich, Sutton, Croydon and the nearby surrounding areas.
Our services include registered care, supported living, residential respite care, outreach support, training and employment for people with learning disabilities. We are led by a volunteer Board of Trustees and our work is guided by a Shadow Board composed of our staff and adults with learning disabilities who use our services.
