The job holder will typically carry out duties including the following:
- To manage and maintain Executive members diaries, actively managing their programme of work, ensuring the most effective and necessary use of their time
- Proactively manage the email inbox of Executive members, categorising emails, highlighting priorities, as well as using judgement to respond directly and appropriately to queries, which may be of a confidential/highly sensitive nature
- Collate meeting packs, briefing papers, reports and issue to agreed timelines
- Arranging and organising appointments, meetings, events and conferences, booking suitable venues, organising resources, and booking any associated travel/accommodation requirements
- Attend Executive Members meetings and ad hoc working groups to take minutes and/or actions and ensure that any agreed actions are followed up
- To maintain effective electronic and manual filing systems
- Utilise college systems to raise purchase orders as required and be familiar with the e-Procurement system
- To prepare accurate Executive travel and expense claims in line with policies
- To be the first point of contact and gatekeeper for Executive members to manage or redirect any queries internally and externally as appropriate
- To anticipate requirements, planning ahead to ensure that information is available, and meetings and worktime is planned in, to meet required deadlines
- To identify potential issues in advance and put forward ideas for solutions
- Be able to manage and prioritise own workload
- Build and maintain effective working relationships with other senior managers, line managers and colleagues across the college and with key stakeholders externally
- Support the Principalship Office Manager and other members of the EA team when required, e.g. Annual leave/sickness
- To have an overall knowledge of the college systems and procedures to assist with and direct any queries
The post holder will be required to:
- Undertake a Disclosure and Barring Service check for this post

Requirements and prospects

- Previous experience of supporting and assisting senior managers
- Previous experience of operating as a PA/Executive Assistant
- Excellent interpersonal skills, being able to work and communicate with a wide variety of internal and external contact at all levels
- Excellent IT skills including good knowledge of Microsoft Office packages
- Experience of social media
- Excellent and accurate written and verbal skills, including the ability to compose own correspondence as well as from dictation and written briefs.
- Experience of minute taking
- Effective organisational/time management skills

- Previous experience within an educational institution
- Previous experience of working in a large organisation

Desired qualifications
Essential:
- 5 GCSEs at grades A*-C/9-4 (or equivalent) including maths and English
- Level 2 Business Administration (or equivalent)
Desirable:
- Level 2 IT (or equivalent)
- Educated to A level (or equivalent)
- Educated to degree level (or equivalent)
- LCCI Private/Executive Secretarial Diploma or equivalent
Future prospects
You will be fully qualified in level 3 Business Administration at the end of your apprenticeship.
Things to consider
Make sure you can travel to the workplace up to 5 days a week (Monday - Friday).
Also make sure you can easily travel to the college for any exams or lessons.
You must list ALL relevant qualifications on your application, including any equivalent qualifications, together with grades. Failure to do this will result in applicants not being shortlisted.
