To ensure a welcoming atmosphere exists in reception at all times by:

  • Acknowledging everyone who enters reception
  • Greeting all visitors in a friendly manner
  • Taking the time to put all visitors at ease

To deliver an excellent level of customer service by:

  • Taking the time to properly ascertain the nature of each visit and dealing with accordingly
  • Ensuring the visitors’ record is correctly completed and all visitors are issued with a visitor badge
  • Chatting to visitors as they wait to be collected
  • Arranging hospitality as required
  • Dealing with general day to day queries from staff, pupils and parents

To manage a prompt and professional telephone answering service by:

  • Ensuring that all calls are answered in a timely manner, establishing identity of caller, transferring and introducing calls as appropriate
  • Helping callers as far as you are able by obtaining any necessary information
  • Taking and relaying messages where necessary

To maintain a comfortable and informative environment for all visitors by:

  • Developing conversation as appropriate
  • Building and maintaining an excellent working knowledge of and active interest in the school
  • Ensuring any displays are fresh and current
  • Keeping the reception area tidy at all times

To assist with the maintenance of the attendance/absence register on computer:

  • Ensuring registers are completed on the pupils database by all tutors on time
  • Following up pupil absences as required
  • Maintaining the staff and pupil signing out books in order to ensure an accurate record of people on site in the event of evacuation of the buildings in case of fire

To ensure that transport arrangements for pupils are in place:

  • Bus lists are accurate and correspond to attendance registers
  • Bus duty staff are advised of any changes to bus lists
  • Parents are advised if buses are running late or if there are any problems anticipated

To provide essential support services to staff by:

  • Taking delivery of and distributing all incoming mail
  • Receiving incoming parcels for staff and pupils and informing the individuals accordingly
  • Ensuring daily collection of all outgoing mail
  • Franking all outgoing mail/parcels
  • Photocopying for staff as required

To provide some cover during the school holidays and sickness cover if required.

To provide administrative support to other departments in the school, e.g. Finance, School Administrator, Head’s PA and Marketing.
