Duties include:

  • To undertake a range of reception and administrative duties such as answering the telephone, managing incoming and outgoing post, forwarding messages, typing letters and reports etc and deal with basic office enquiries in a helpful, courteous manner, being aware of the need to maintain confidentiality at all times regarding the service, its clients, foster parents and customers
  • Maintain a good relationship with internal and external customers of the service
  • Diary Management: ensuring self and SSW’s within the office have updated the diary with their meetings, visits, and annual leave. To ensure that meetings are highlighted on the calendar to prevent double booking and that Duty and OOH are displayed according to the rota’s provided by the Registered Manager
  • Process statutory checks for foster parents and members of their support network; ensuring these are uploaded on to the Intuitive Care database along with all relevant information and renewed prior to the expiry dates, in accordance with the monthly Audits
  • Process the post panel checklists, both newly approved and de-registered, to ensure that all information is sent, uploaded correctly and all relevant parties are updated
  • Process the placement checklists, both start and end, for all young people placed with the foster parents; liaising with the Supervising Social Workers to ensure that all parts are completed
  • Manage, organise, and update relevant data on Intuitive Care and all other databases, as applicable
  • Interpret instructions and issues arising, and then implement actions according to administrative policies and procedures
  • Attend training and internal/external meetings to develop relevant knowledge, techniques and skills and participate in Minute taking if required
  • To ensure Intuitive Care system is being updated and used appropriately
  • To conduct a monthly safeguarding audit for all approved foster parents, young people in their care, members of staff, panel members and consultants; following this up with appropriate actions to ensure all information is on file
  • Processing of all birthday cards to foster parents, young people and birth children living in the home under 18 years
  • Processing all achievement certificates/postcards for young people, as directed by the SSWs and Registered Manager
  • Training; booking venues, catering, recording attendance, gathering feedback, and issuing certification of attendance
  • Support Group Meetings; booking venues, catering, recording attendance and distributing minutes upon receipt of facilitator
  • To ensure all stationery, cleaning and kitchen supplies are purchased and kept up to stock
  • Intuitive Care administration - ensuring all foster parents are allocated a username and password and dealing with issues arising in respect of access, lost passwords and updating records
  • To ensure that all confidential information is archived correctly, safely and recorded accordingly
  • To process significant events and update the register, accordingly, ensuring these are distributed to all relevant parties externally and internally
  • Provide administration support to the Office Manager
  • Accurately record and update information on records ensuring that other relevant parties are promptly informed of any changes having due regard for discretion and confidentiality
  • To have a good understanding of evolves practise, policies and procedures and offer advice and support on these documents, as required
  • To contribute towards training sessions and staff meetings
  • To participate in regular professional Supervision and continue to develop skills and knowledge in administrative matters
  • To work in a way that always promotes anti-discriminatory practice
  • To take personal responsibility for health and safety for self, colleagues, and visitors
  • To take responsibility for bringing any concerns of childcare and practice to the attention of the appropriate person and to be sure in your mind that the matter has been appropriately dealt with and recorded as such
  • To feel sure enough in their day to day working environment and employment conditions to raise any matter or issue that may conflict or seem to conflict with the practice and/or service the agency provides and to ensure matters are recorded as such
  • To report, discuss and work with the Office Manager to ensure that all the above is carried out to a professional and high standard
  • To ‘own’ our policies and positively always promote its practise and an undertaking of complete confidentiality pertaining to all matters relating to evolve Therapeutic Fostering Ltd
  • Ensuring Car Insurance, Caravan Insurance, Driving Licence & MOTs for Foster Parents are all up to date
  • Collating & Processing of Education/School Reports and Qualifications and ensuring Charms is updated
  • Catering for Events, Meetings, Training, Office Supplies
  • Training – Attendance inputting & Feedback Forms
  • Minutes of Meetings (as applicable)
  • Health & Safety Monthly Reporting and auditing (as applicable)
  • Respite – Processing of Respite paperwork
  • Any other duties relevant to the post
