Duties will include:
- Arrange for shredding collections and communicate to all staff
- Basic admin support as required
- Check stock levels with an order list sent to relevant department to replenish when required
- Arrange for all outgoing post to be franked and take post at 15:00
- Complete the Recording of Staff Absence Form for any staff that call in sick etc. and forward to relevant parties
- Ensure all visitors sign in and have a visitor badge
- Ensure any messages and calls are communicated to relevant staff through e-mail or other communications necessary
- Keep log in sheet for all staff up to date with holidays, absences and time signing in for morning and lunch
- Keep log of all incoming calls with date, time, name of individual calling, company calling from, person they wish to speak to and contact telephone number
- Keep phone list up to date with any new employees/numbers and any leavers
- Keep reception area and meeting rooms cleaned to a high standard and replenish water
- Keep room booking calendars up to date with any meeting room bookings, absences and holidays
- Log recorded mail on spreadsheet for backing purposes
- Open up reception area for 8am each working day
- Open, sort and stamp incoming mail and ensure it is given to correct department
