Responsibilities will include:

Purchase Ledger:

  • Updating and maintaining the purchase ledger with all supplier invoices and queries
  • Process invoices, reconciling delivery notes to invoices received and purchase orders
  • Set up new supplier accounts and maintain existing account details within the purchase ledger
  • Monthly reconciliation of supplier statements
  • Daily bank reconciliation
  • Assist in the preparation of purchase summaries
  • Process business expense returns
  • Cashbook and petty cash entries
  • Processing bi-monthly BACS payments

Sales Ledger:

  • Updating and maintaining the sales ledger with all customer invoices and queries
  • Raise invoices and send to the relevant person
  • Set up new customer accounts and maintain existing account details within the sales ledger
  • Liaise with clients in order to collect late payments and resolve any debt issues
  • Keep a record of monies in and invoices paid
  • Ensure invoice information is correct and resolves any issues
  • Ensure VAT is correct and resolve any issues
  • Issuing credit notes if needed
  • Daily bank reconciliation

Other duties:

  • Providing general support to the Office and Crew teams as and when needed
  • Providing holiday cover for all members of the Office Team
  • Providing support to the Office Coordinator

Future prospects

The company will soon be taking over another company based on the Thames, this may require further need of an apprentice. If the apprentice is successful at level 2 and works well in the company, we would offer a level 3 apprenticeship.

Level 2 Accounts or Finance Assistant apprenticeship standard, which includes:

  • Foundation Certificate - AAT Level 2

Foundation covers the basic principles of accountancy and is your starting point if you’ve never studied accountancy before. You’ll learn the basic principles of accountancy, such as double-entry bookkeeping, costing and preparing financial statements, as well as how to use accountancy software.

This level is ideal if you’re new to accountancy and finance, have previously worked in an accounts department, or are looking to change your career into accountancy.

To pass this level, you'll be examined on five units (also known as subjects), of which one includes the synoptic assessment. This tests the knowledge you have gained throughout the level, covering multiple (but not all) units. All assessments are computer-based exams (CBE).

The area you will cover include:

  • Bookkeeping transactions
  • Bookkeeping controls
  • Elements of costing
  • Using accounting software
  • Foundation Synoptic Assessment

The apprenticeship standard details the essential Knowledge, Skills and Behaviours that somebody would need to demonstrate to be a successful Accounts/Finance Assistant, this includes, General Business, Ethical Standards, Communication, Attention to Detail and Professionalism. Apprentices will need to show they are competent in all the areas detailed in the standard when they take End Point Assessment.

The Knowledge areas of the standard will be covered through completion of the AAT qualification. Skills and Behaviours are developed through workshops, e-learning, workplace training and practical experience provided ‘on-the-job’
