Work closely with all members of the team to ensure a consistent, efficient and professional service is delivered

Support and assist colleagues through sharing of knowledge to ensure consistency of information delivered to customers

Work flexibly, helping with reasonable ad hoc duties as required

Your job could include tasks such as:

  • Dealing with telephone calls – answering, messaging, actioning accordingly
  • Managing emails and correspondence
  • Booking travel & hotels - plus associated follow up actions & communication
  • Providing support at Events as required
  • Charity Administration work – requiring secretarial support offered in a confidential and discrete manner
  • Accounting procedures – invoicing, reconciliations, credit control, processing of credit card payments
  • General administrative duties including: filing (electronic and paper), date entry (Excel), photocopying, scanning

  • Working knowledge of Microsoft office (predominantly Outlook, Word and Excel)

Future prospects

A permanent role within the team would be offered at the end of the Apprenticeship if successful.  Progression would also exist to take on more senior level tasks, or move into a more senior role

Things to consider

  • The location is in Pocklington – buses are available; however, it is a walk the premises from the stop.  Free parking for drivers.
  • Salary will be Apprenticeship Minimum Wage for 3 months, then after successful review would increase in increments to national minimum wage, based on age.
  • Initially you will be contacted by York College to confirm your commitment and suitability for the role. If we are unable to contact you, you will not be considered for the position.
  • Please note that from 1st April 2022 the National Minimum wage is £4.81 per hour for an apprentice.  This applies to 16-18 year old apprentices and those aged over 19 in the first year of their apprenticeship. For all other apprentices the National minimum wage appropriate for their age applies. The minimum wage for Apprentices applies to time spent on the job and time spent training.

Business Administrator Apprenticeship Level 3 Apprenticeship Standard:

Functional skills in Maths and English at Level 2 or equivalent if not already achieved.

What will I study?

  • The responsibilities of the role are to support and engage with different parts of the organisation and interact with internal or external customers, with a focus on adding value. The Business Administrator is expected to deliver their responsibilities efficiently and with integrity, showing a positive attitude. The role involves demonstrating strong communication skills and adopting a proactive approach to developing skills
  • You will study skills in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes and record and analyse data. Examples include MS Office or equivalent packages. Production of accurate records and documents including: emails, letters, files, payments, reports and proposals. Make recommendations for improvements and present solutions to management. Draft correspondence, write reports and develop the ability to review others' work
  • Build and maintain positive relationships within their own team and across the organisation. Demonstrate the ability to influence and challenge appropriately. Become a role model to others, developing coaching skills as you gain area knowledge. Take responsibility for initiating and completing tasks, and managing priorities and time in order to successfully meet deadlines. Positively work towards the supervision of colleagues and set a positive example for others in the workplace

Method of delivery:

  • Apprentices will typically attend York College on a day release for the duration of the apprenticeship and work with their employer for the remainder of their contracted hours. During their time in College, apprentices will work towards developing their knowledge, skills and behaviours, and at work will consolidate their on-programme learning with the support of their employer. An assessor will visit every 8-10 weeks to discuss and monitor progress on the apprenticeship in conjunction with the employer

How will I be assessed?

Functional skills at Level 2 must be achieved before an apprentice can progress to the End-Point Assessment (EPA) which includes the following areas:

  • Online Multiple-Choice Test: 50 multiple-choice questions to be completed in 60 minutes under invigilation conditions. The apprentice must pass the test before they progress to the interview and presentation
  • Portfolio Interview: The 30-45 minute interview assesses the apprentice’s competence, self-reflection, judgement and understanding of the entire apprenticeship
  • Project Presentation: The apprentice delivers a presentation on a project that they have completed or a process that they have improved
  • An independent assessor will award an overall grade of Pass/Distinction/Fail
