Primary Responsibilities:

  • Entering enquiries (new/revisions and variations) onto the system that have been requested from clients for a job that they are either tendering or have won Enquiries include specific information from the client that enables estimators to prepare quotations
  • Liaising with clients and negotiating extensions if dates cannot be met
  • Scheduling a completion date for the enquiry and allocate to estimator, assessing estimators’ current commitments
  • Follow daily time management structure that has been provided by estimating manager, reporting back if times are not adhered to
  • Sending copy quotations to clients. This includes inputting new customer information, if required. Creating a ‘copy’ and send to the estimator so it can be forwarded onto the client
  • Initial chasing of all sent quotations, gaining insight into commercial positions, and updating the system and relevant documentation. Relaying information back to estimators/sales
  • Marking quotations that not been won as inactive and removing them from the system. This includes ensuring that the project is electronically backed up and deleted, and the hard copy file is broken down and moved to the required lost box
  • Completion of route packs that have been returned from production
  • Filing: General filing when required
  • Ensure inbox is kept tidy and emails are actioned within a timely manner
  • Archiving when required
