This is mainly an office-based role and the key role of the Team Administrator is to work very closely with the Registered Manager/Director of Medical Partnerships to ensure the smooth running of the business conforming to CQC guidelines and working with other healthcare professionals to ensure that the service delivered is Safe, Caring, Responsive, Effective and Well led.
The Team Administrator will be required to work occasional weekends when required and cover unassigned shifts during the week or over the weekend which may vary according to the business needs.
Your daily duties will include but not be limited to:

  • Care Administration
  • Arrange for new care plans to be placed in new client’s home
  • Carry home visits where and when required
  • Co ordinating client schedules and carers rotas on a weekly basis using Care Planner
  • Ensure NO CALLs are missed when scheduling
  • Ensure that each carer receives their rota at least two weeks in advance
  • Liaise with all carers on a weekly basis to ensure that they are familiar with their rota
  • Manage and arrange initial Care Assessment interviews with Assessor
  • Manage the Duty roster
  • Manage timesheets of carers on a weekly basis.
  • Provide staff with necessary resources eg gloves, etc
  • Support in the writing of new care plans for new clients
  • Update Care plans as required
  • Work with Team Leader and Care Co-ordinator to co-ordinate client schedule where applicable

General Administration:

  • Arrange meetings eg training, team meetings and appraisals, client meetings, etc
  • Depositing of cheques
  • Be able to deputise in the absence of the Manager
  • Carry out DBS checks for new starters and existing staff
  • Carry out general administrative tasks
  • Coordinate and manage staff holiday requests
  • Compose letters and reports as required
  • Deal with staff and client queries via emails, phones, etc
  • Devise and maintain office systems, including data management and filing
  • Ensure that as an organisation we work in a professional manner at all times
  • Ensure that the Duty Phone is manned especially during evenings and weekends
  • Liaise with all members of staff to ensure that they have the correct information and documents at any one time
  • Manage and review company policies
  • Manage newsletters
  • Manage stock levels of PPE and re order stationary and clinical items
  • Manage website
  • Meet and greet visitors in a professional manner
  • Provide weekly status report to Director Managing diaries
  • Support in the coordination of surveys
  • Support with other general adhoc administrative duties and supporting in other areas as required
