Details of these duties are detailed below. These should not be seen as exhaustive as all reception and administration staff must be flexible and willing to adapt to their duties and times of work as the needs of the practice change.

There are four main areas of work which will be assigned to you as an apprentice is, over time we will develop your knowledge and skills to be able to work within each area confidently and independently.

  • Working within our documents team, helping with the processing of all inbound communications into the practice which is received both electronically and by post
  • This will include; clinically coding these documents and assigning to others in accordance with the document management system protocols
  • Working within the patient registrations team, registering new patients and deducting patients which leave the practice, following to registrations and deductions practice protocols
  • Working within the reception team, dealing with patients both face to face and over the telephone.  Signposting patients to the most appropriate service
  • Working within the Sortation Team, dealing with patient online triage submissions which are received both directly from the patient and also via the reception team

All staff on each shift are responsible for ensuring the smooth running of the surgery.

They are required to –

  • Provide an efficient and courteous service to people visiting or phoning the surgery and to deal with their requests, queries and tasks appropriately
  • Monitor the arrival of patients to all surgeries and supervise the waiting areas
  • Ensure a receptionist is present at all times at the ground floor reception area and available to take phone calls between 8am – 6.30pm
  • Be prepared to cover for absent colleagues at short notice
  • Ensure the building is locked up and all computers are logged out and shut down at the end of the evening surgery
  • Arrange appointments for patients using the practice computer system and following practice protocols
  • Deal appropriately with messages for clinicians and other staff
  • Aid patients in obtaining repeat prescriptions as laid down in the practice protocol
  • Undertake administrative duties as required: including filing, ordering ambulances, contacting hospitals etc.
  • To deal with any situation and query that arises in reception and refer any problems to colleagues, Reception Manager, Practice Manager or one of the partners in the practice
