Recruitment

  • Support in maintaining the firm’s recruitment system, arrange interviews & liaise with agencies, prepare and circulate interview paperwork and chase up outstanding feedback.

Onboarding

  • Prepare offer letters and contracts of employment. Ensure administration for new starters is conducted in good time before start dates with the firm; e.g. setting up electronic files, carrying out reference checks, education checks, SRA searches etc.
  • Arrange Induction schedules for new joiners

 Employee lifecycle 

  • Administer the review process for new starters arranging one month, three month and five month reminders/paperwork/meetings.  
  • Provide ad hoc administrative support to the HR team in relation to disciplinary, grievance or other employee relations issues including note taking (if required), booking rooms, assisting with correspondence etc.  
  • Produce change of term letters and complete the necessary payroll and Open HR amendments associated with these changes. 
  • Ordering gifts for staff as necessary including for employee awards and long service awards.
  • Ensure all leaving procedures have been completed in accordance with audit requirements. Deal with reference requests and book exit interviews.
  • Liaise weekly with the Objective Manager support team (our Appraisal system provider) regarding new joiners and leavers
  • Maintenance of The Capsticks Academy intranet page
  • Running monthly reports via Microsoft Forms for the Talent Development team
  • Respond to daily alerts in Open HR as necessary and ensure that all data entered into Open HR is recorded accurately

Requirements and prospects

Desired skills

  • IT skills that include good working knowledge of Microsoft Office applications including Word and Excel; 
  • An excellent telephone manner and communication skills, with the ability to liaise effectively with people;
  • Excellent attention to detail; and
  • Good time management skills and the ability to prioritise work effectively.
  • Be able to deal with confidential and sensitive information with the highest level of discretion;
  • Demonstrate a willingness to be adaptable and happy to assume responsibility 
  • Remain calm while under pressure and juggling multiple demands.

Personal qualities

The successful candidate will often be the first point of contact with the HR department and we are therefore looking for a pro-active, friendly and approachable person who is able to operate effectively at all levels. This is a great role for someone who would enjoy assuming responsibility for all aspects of administration.

 

Desired qualifications

GCSEs including Maths and English at a grade 4/C and above.

Human Resources is a highly valued function at the firm and the people experience lies at the heart of how the firm serves its clients and recruits, develops and retains its people.  The HR department operates on the Business Partner model, working alongside a Talent Acquisition team and Compensation and Benefits Advisor.  There is a separate team which has responsibility for Talent Development and Diversity but these areas work closely with each other. 

The collective team is responsible for the delivery of all aspects of the firm’s People Strategy and comprises 10 individuals in total.  The role will be directly managed by a HR Business Partner but will work closely with all members of the department, on a day to day basis.
