  • Being a point of first contact with the practice for patients and others, projecting a confident, caring and friendly image both in person and on the telephone
  • Providing the link between patients and other members of the Primary Health Care team

Key Responsibilities

  • Providing the administrative support necessary for an efficient and effective health centre
  • Providing a calm, considerate and tactful point of contact for patients and others
  • Working within a strict code of confidentiality
  • Having thorough knowledge of practice policies and procedures and working within them
  • Participating in an annual individual performance review
  • Undertaking training as required for the better performance of the job and maintaining a record of personal and professional development

  • Assisting in promoting and maintaining your own and others’ health, safety and security as defined in the practice Health and Safety policy
  • Supporting equality, diversity and rights of patients, carers and colleagues

Key tasks

  • Making appointments for patients and helping to maintain the computerised appointments system
  • Registering patients on the computer system
  • Dealing with general enquiries from patients and others
  • Receiving and making telephone calls as required
  • Taking accurate messages for doctors and other staff and ensuring messages are dealt with
  • Processing repeat prescriptions in accordance with the practice standard operating procedures
  • Dealing with incoming and outgoing post daily
  • Filing, photocopying, faxing and emailing as required
  • Assisting in opening and closing the Health Centre as required, maintaining security
  • Opening, closing and backing up computer systems in accordance with practice protocol
  • Processing information to and from other primary health care organisations
  • Tidying the waiting area between surgeries
  • Keeping the reception office in good order
  • Assisting the partners, practice manager and secretarial team in administrative tasks
  • Handing over medication and other items to patients, collecting money where necessary
  • Checking dispensed medication, according to standard procedures

In addition to the above key tasks and responsibilities, the post holder will carry out other tasks or responsibilities which may reasonably be required of him/her by the employer.
