Apprentice Legal Facilities Assistant within the Residential Conveyancing Team Schofield Sweeney

This is a supportive role within the Residential Conveyancing team and its key focus will be to provide general administrative assistance to the more experienced Conveyancing Assistants and Fee Earners who are responsible for delivering our conveyancing services to clients.

Duties will be as follows:

Case Management:

  • Open and close files, following the firm’s correct procedures
  • Bring any matters of concern or that require further investigation to the attention of more senior people within the conveyancing team
  • Provide administrative assistance to our Conveyancing Assistants, so that they can effectively support our fee earners in managing their a caseload of files
  • Under guidance and supervision, liaise with the client and/or third parties where necessary
  • Review completed property information forms, checking for errors and discrepancies
  • Scan or file incoming post
  • Processing the administration tasks involved in a sale and purchase transaction
  • Assist in the preparation of Contracts and other documents
  • Carefully check client identification
  • Bring any issues which may affect a client matter to their attention of a Conveyancing Fee Earner or Manager in a timely manner
  • Take detailed messages of all appropriate telephone calls
  • Assist others with keeping relevant parties in the transaction up to date at all times
  • Develop skills and knowledge of the conveyancing process; and Provide assistance on remortgage matters as required

Quality Management:

  • Ensure that accurate information is inputted onto the database
  • Ensure the case management system is used to process all aspects of the transaction; and ensure an appropriate Fee Earner or Manager is made aware immediately of any issues which may lead to a problem or complaint

Other duties:

  • In all matters act in accordance with professional practice rules and the firm’s procedures
  • Attend team meetings, seminars and training sessions, as required
  • Act in a manner that promotes the firm and enhances its reputation
  • Adhere to the client care standards and the firm’s normal financial, managerial and procedural rules and policies such as Anti-Money Laundering, confidentiality, data protection et; and e) Comply with the requirements of the Apprenticeship programme

  • We hope and expect that after the completion of this apprenticeship, the successful candidate will progress within the conveyancing team, ultimately to become a fee earner
