We are looking to recruit a medical receptionist/administrator to join our friendly and efficient team.

Special requirements of the post:

  • An understanding, acceptance and adherence to the need for strict confidentiality
  • An ability to use own judgement, resourcefulness and common sense to respond to patients’ enquires and requests
  • Excellent communication skills
  • Excellent team player

The role provides the key point of contact between our patients and our doctors and other clinical/administrative staff.

1. Reception Duties:

  • Follow relevant practice procedures to ensure efficiency of the appointment system and effective flow of patients into consulting and treatment rooms
  • Ensure that patients without booked appointments, but who need an urgent consultation, are dealt with appropriately in line with practice procedures
  • Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, ensure all procedures are completed in line with practice policies
  • Respond to all queries and requests for assistance from patients and other visitors
  • Advise patients of relevant charges for private services and accept payment for same

2. Management of appointment systems:

  • Ensure total familiarity with all appointment systems in effect, including regular and incidental changes
  • Book appointments as appropriate following practice procedure
  • Monitor effectiveness of the system and report any problems to the Office Manager (or, in her absence, to the Practice Manager or a Doctor)

3. Administration of medical records:

  • Ensure correspondence, reports, results etc. are scanned and filed electronically in accordance with practice procedure
  • Ensure that all letters are scanned into patient notes in line with practice procedure
  • Administer new patient registrations and leavers
  • Liaise and communicate appropriately with other care providers,  provide medical information as required

4. Prescriptions:

  • Receive patients’ requests for authorised repeat prescriptions
  • Process prescription requests and queries in strict accordance with practice procedures

5.  Telephone Duties:

  • Receive and make calls as required
  • Deal with general enquiries and contacting other providers and services
  • Dealing with patients’ results, appointments, requests and queries

Requirements and prospects

Desired skills

  • You will need to have excellent communication and telephone skills, the ability to remain patient and friendly under pressure, and to work well in a team
  • The administrative element of the role requires organisational and IT/data entry skills and attention to detail

Personal qualities

  • Friendly, organised and willing to learn

Desired qualifications

Familiarity with the EMIS Web computer system and Docman would be advantageous but not essential.
