  • To promote and safeguard the welfare of children, young people and/or vulnerable adults.
  • Statutory Obligations – As per statutory requirements as specified in the children’s Homes Regulations and Quality Standards.

  • Work closely with the admin department to ensure all tasks set are completed correctly and to meet deadlines.
  • Be the first point of contact both via the telephone and on site. Greet visitors in a professional manner and direct them to the appropriate person. Ensuring they are signed in to meet fire regulations.
  • Maintain the filing and archiving systems while ensuring that confidentiality is protected.
  • Manage the post (incoming and outgoing).
  • Using ICT skills to scan documents onto the computerised systems for filing/storage.
  • Work with the HR team to meet safer recruitment requirements. (e.g. maintaining staff files, collating references, gaining references).
  • Retrieving and filing documents as needed.
  • Create, update and maintain spreadsheets.
  • Where appropriate to attend any meetings and take the meeting minutes.
  • Maintain general office tidiness and ensure you comply with the Clear Desk Policy at all times.
  • Ensuring any unneeded confidential information is destroyed in line with company policy.

  • Be responsible for the booking of rooms for training where necessary
  • Maintain staff files both papers based and electronically, in compliance with GDPR.
  • To be aware of and participate in own personal development by attending and contributing to supervision sessions, training courses and other departmental forums to keep abreast of development with the profession. Work towards your vocational qualification.

What will I study?

The responsibilities of the role are to support and engage with different parts of the organisation and interact with internal or external customers, with a focus on adding value. The Business Administrator is expected to deliver their responsibilities efficiently and with integrity, showing a positive attitude. The role involves demonstrating strong communication skills and adopting a proactive approach to developing skills.

You will study skills in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes and record and analyse data. Examples include MS Office or equivalent packages. Production of accurate records and documents including: emails, letters, files, payments, reports and proposals. Make recommendations for improvements and present solutions to management. Draft correspondence, write reports and develop the ability to review others' work.

Build and maintain positive relationships within their own team and across the organisation. Demonstrate the ability to influence and challenge appropriately. Become a role model to others, developing coaching skills as you gain area knowledge. Take responsibility for initiating and completing tasks, and managing priorities and time in order to successfully meet deadlines. Positively work towards the supervision of colleagues and set a positive example for others in the workplace.

Method of delivery

Apprentices will typically attend York College on a day release for the duration of the apprenticeship and work with their employer for the remainder of their contracted hours. During their time in College, apprentices will work towards developing their knowledge, skills and behaviours, and at work will consolidate their on-programme learning with the support of their employer. An assessor will visit every 8-10 weeks to discuss and monitor progress on the apprenticeship in conjunction with the employer.

How will I be assessed?

Functional skills at Level 2 must be achieved before an apprentice can progress to the End-Point Assessment (EPA) which includes the following areas:

Online Multiple-Choice Test: 50 multiple-choice questions to be completed in 60 minutes under invigilation conditions. The apprentice must pass the test before they progress to the interview and presentation.

Portfolio Interview: The 30-45 minute interview assesses the apprentice’s competence, self-reflection, judgement and understanding of the entire apprenticeship.

Project Presentation: The apprentice delivers a presentation on a project that they have completed or a process that they have improved.

An independent assessor will award an overall grade of Pass/Distinction/Fail.
