  • Enter and extract information from the practice appointments system (EMIS)
  • Processing requests for appointments, visits and telephone consultations, ensuring patients are directed to the appropriate healthcare professional
  • Processing and distributing incoming (and outgoing) mail. Taking mail to the post office
  • Taking messages and passing on information
  • Filing, retrieving paperwork and scanning
  • Data entry and collation; processing and recording information in accordance with practice procedures
  • Responding to requests from patients, other team members and associated healthcare agencies and providers
  • Clearing and re-stocking of consulting rooms as required
  • Providing admin assistance to practice staff, including word/data processing, filing, photocopying and scanning
  • Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter
  • Act as main point of contact (reception) for patients, visitors and practice teams
  • Issue advice to members of practice staff in relation to room availability and take/manage room bookings for available rooms as advised by the member of staff responsible for room rota’s
  • Sign all visitors (any non-Lakes Medical Staff) in and out ensuring badges are issued and confidentiality forms are signed at all times
  • Provide and receive routine information requiring tact or persuasive skills and overcome barriers to understanding
  • Exchange information with patients, relatives and staff on a variety of departmental matters and procedures
  • Deal with telephone queries, checking patient information with colleagues and patients
  • Respond to email and telephone enquiries
  • Communicate routine administrative information verbally and in writing to patients, staff and external contacts
  • Understand that barriers to communication may include anxious patients, cultural differences, language or other communication difficulties
  • Participate in team meetings and staff training, which may fall outside of normal working hours (Time will be paid for attendance at normal hourly rate)
  • Work collaboratively with colleagues – both internal and external to the practice
  • Communicate effectively with patients, carers and other team members to address their queries, signpost as appropriate and resolve problems
  • Ensure all relevant information, both internal and external,  is distributed to appropriate team members
