Guest services:

  • Ensure that all guests receive a warm welcome, and therefore a first impression which illustrates a professional and friendly manner while being polite and courteous at all times
  • To acknowledge all guests within 5 seconds, either through speech or with positive facial expressions such as a smile
  • To be a point of contact for all hotel guests and to deal with all situations in a polite and courteous manner
  • Be fully conversant with the facilities, services and special promotions offered by the hotel and to pass this information on to the guest whenever the possibility arises in order to maximise hotel sales
  • To answer all queries from guests or where applicable, direct them to the appropriate member of staff or department
  • Listen to regular feedback from the guest service standards, to improve consistently improve standards
  • Say hello to any guests or colleagues you meet as you walk around the hotel

Daily duties:

  • Maintain the appearance of the front desk to meet the Hotel Standards and to ensure the agreed standards, as set out in the Standard Operating Procedure Manual, are adhered to, and maintained at all times through the shift
  • Implement good reservation handling incorporating maximising our occupancy and availability
  • Make every effort to increase Room Sales and to obtain the best possible rate, remembering to liaise with Reservations who will have offered the “rate of the day”, especially weekend
  • Be aware of the hotel availability and rates to upgrade and upsell and ensure that every opportunity to maximise room sales is taken and no “chance” business is turned down when the hotel has rooms to sell
  • To ensure that the correct rooms are allocated to the VIPs and guests according to correspondence and request in the absence of the FOH Manager To check guest in and out of the system quickly and efficiently
  • To answer the phones within three rings and to transfer any calls as necessary with an appropriate talk line
  • To ensure that the hotel has the correct information and requirements for all guests as they check in
  • To upsell whenever appropriate by offering upgrades or a booking in the Restaurant
  • To have a full understanding of all room types, location, views, configurations, and hotel facilities and manage any overbooking situation and that the correct decision is made, and then if a book out is necessary to ensure the correct procedure is followed

General duties:

  • Be fully conversant with all facilities and service provided within the hotel for upselling and promoting purposes when the opportunity arises
  • Ensure the company standards of dress code, personal appearance and hygiene is always adhered to at all times
  • To wear the correct uniform, in good condition whilst on duty and in the hotel and to take responsibility for the uniform whilst off-duty Attend all the relevant training and departmental meetings as and when required
  • Answer the company telephone according to the company standards
  • Develop and maintain good working relationships with your colleagues creating a team that works well together
  • Be conversant with the responsibilities and duties of staff and management duties of the hotel Conserve energy by turning off equipment and lights when not in use
  • Have a thorough knowledge of and adherence to the law with regard to the following company regulations
