The postholder will have at least foundation level qualifications in literacy and numeracy and significant prior experience of reception duties and administrative support to a large institution within the private and/or public sectors.

The holding of relevant vocational qualification would be an advantage.  The postholder will have a professional appearance and have solid verbal and written communication skills and the ability to be resourceful and proactive in dealing with issues that may arise.

The postholder will undertake reception and administrative support duties as directed by the Office Manager/PA to SLT.

These duties may include:

  • Reception and hospitality provision
  • Greeting and directing visitors appropriately whilst maintaining security to the Academy building
  • Telephone and email response and, as directed
  • Provision of information to pupils, parents, staff and the public
  • Word-processing, desktop publishing of materials and photocopying

The postholder will make a significant contribution to the Academy’s efficiency and positive public profile. The postholder will be expected to attend meetings and/or training as directed.

Have a current and relevant understanding of reception duties and office administration and the effective maintenance of support to pupils, parents, staff and the wider community.

Be an effective user of Microsoft Office demonstrating a good level of ICT skills and competency.

To ensure that the Academy’s reception and administration is effective and efficient through the performance of duties, as directed by the Office Manager/PA to SLT.

For approximately 90% of time, the direct provision of a range of reception, administrative and reprographic support as directed by the Office Manager/PA to SLT.

For approximately 10% of time, as directed by the Office Manager/PA to SLT

Attending meetings and staff training to support the maintenance of high quality and improved reception and administrative functions for the Academy.

Service Provision Delivery:

As directed by the Office Manager/PA to SLT, undertake reception duties, call logging and email response. Transfer messages and respond to enquiries. Maintain Academy security by following procedures and controlling access.

  • Word process reports, letters and/or similar as directed. Support the desk top publication of materials, including the integration of differing elements within Microsoft Office suite of programs
  • Photocopy, prepare and bind materials for publication. Support the publication of materials to electronic media
  • To attend all meetings and training as directed
  • Undertake such other assignments as may be required by the Principal

The post is subject to performance management and an annual continuing professional development interview and review.

Requirements and prospects

Desired skills

  • Experience of reception duties in a large organisation. 
  • Experience of day to day administrative work in a large public organisation. Educational administrative experience an advantage
  • Experience of providing processes and support to an office team, including reprographics.
  • Experience of switchboard operation.

Knowledge, without which the job cannot be done effectively:                        

  • Ability to undertake reception duties, being the credible public face and representative of the Academy at first contact
  • Current knowledge and understanding and application of administrative IT systems – e.g. Microsoft Office

Skills and abilities, Essential/Capable of doing, Desirable/Able to train:    

  • Ability to inculcate positive relationships and demonstrate empathy with young people, staff, parents and visitors in a range of differing circumstances
  • Ability to maintain projects and tasks within timescale

Desired qualifications

Qualifications, Training and Education, also identify training to be given:

  • A minimum of foundation level qualification in English and Mathematics, e.g maths & English GCSEs at grade A-C/9-4 (or equivalent)
  • Hold a relevant qualification at Level 2 or above in Business Administration or Customer Service

Training to be delivered by LMP Education on the Business Administration standard. Developing skill sets within the business administration role. Understanding communication importance and legislations such as the data protection act and why these are in place. All training will be delivered by LMP education on the job and through Smart Assessor E-Portfolio systems enabling access to teaching and resources.

Developing knowledge on the IT platforms, using MS office, IT solutions to business problems. Processing quality assurance and training towards all legislation understanding. Training will be for the duration of the qualification (apprenticeship) being taken by the individual. Qualification will last for around 20 months, of which consistent work to be produced to the training provider and complying with all ESFA rules.
