Key Responsibilities:

  • You will be working directly for the directors as well as being part of a team who manages all emails, phone calls, orders, invoices, ensuring all queries are resolved

Job Description:

  • Being able to use a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, Access, etc., to produce correspondence and documents and maintain presentations, records, spreadsheets and databases
  • Answering the telephones answering emails
  • Greeting clients
  • Typing
  • Filing
  • Managing diaries and arranging bookings
  • Financial/accounts administration
  • Handling correspondence
  • Organising meetings
  • Liaising with relevant organisations
  • Undertaking mail-shots and similar publicity tasks
  • Implementing new IT/administrative systems
  • Devising and maintaining office systems
  • Booking rooms and conference facilities
  • Using content management systems to maintain and update websites and internal databases
  • Attending meetings, taking minutes and keeping notes
  • Invoicing
  • Managing and maintaining budgets
  • Liaising with staff in other departments and with external contacts
  • Ordering and maintaining stationery and equipment supplies
  • Sorting and distributing incoming post and organising and sending outgoing post
  • Liaising with colleagues and external contacts to book travel and accommodation
  • Organising and storing paperwork, documents and computer-based information
  • Photocopying and printing various documents, sometimes on behalf of other colleagues
  • Recruiting, training and supervising junior staff and delegating work as required
  • Manipulating complex statistical data
  • Arranging both in-house and external events
  • Miscellaneous tasks to support their manager, which will vary according to the sector and to the manager’s remit, e.g. completing some corporate governance reporting (to ensure that the business is being run properly and complying with legislation and regulations) or conducting research
  • Helping with packing when necessary - Main function of the business as online (during busy periods)

Desired qualifications

Minimum grade A-C/7-4 GCSE, or equivalent, in maths and English is a MUST.

Future prospects

  • After successful completion of the work experience period the apprenticeship progression will be offered
  • A permanent vacancy may be offered to the right apprentice with the opportunity to progress within the company
