JOB PURPOSE

Under the direction of the Administration & Projects Manager, you will

Provide general administrative support to all departments within the Estates and Facilities division.

Duties include data input, filing, collection and delivery of post, data collation, processing orders, processing permits, typing, answering the telephone, minute taking, making bookings and arranging paperwork and responding to queries from internal and external sources.  The post holder will be required to work as part of a team and have a flexible attitude to work and provide cross site cover during periods of staff absence.

 The apprentice will receive Induction and training appropriate to the activities he or she will undertake, and will be enrolled to the Intermediate (L2) Business and Administration Apprenticeship Framework with an educational provider.

The apprentice will be expected to complete the elements of the apprenticeship. The framework includes

  • Qualification Credit Framework (QCF) Diploma in Business & Administration Level 2

  • Employee Rights and Responsibilities

KEY RESULT AREAS

  • To attend all mandatory components of the Apprenticeship Framework including:

- Corporate Induction

- GHNHSFT mandatory training

- Department based vocational assessments

- Progress review meetings

  • Additionally at ten months into the programme you are required to meet with a member of the Lifelong Learning team to discuss careers advice and guidance
  • To undertake training as required and agreed with the mentor, supervisor and external assessor and complete the competencies relevant to the work area/department. 
  • Undertaking typing tasks as requested by senior clerical staff or Control Centre Manager.
  • Answering internal and external telephone calls.
  • Check emails and carry out any actions necessary.
  • After training check and log information into Backtraq system.
  • Use of the TEAM invoicing system.
  • Processing of invoices.
  • Data inputting.
  • After training placing orders on the Procurement system – Smart stream and P2P for all managers within Estates and Facilities.
  • Raising orders for contractors to carryout work on site
  • File and retrieve documents required by Estates and Facilities managers.
  • Clerical tasks as required i.e. faxing, photocopying, answering the telephone, etc to support team members.
  • Stock taking for stationary.
  • Processing name badge requests.
  • Undertaking collation tasks when required, such as photocopying and distributing meeting paperwork.
  • Minute taking of meetings.
  • On the request from Senior Clerical Staff or the Control Centre Manager you may be required to cover colleagues during absences/annual/sick leave etc.  You may also be required to undertake job rotation for cross cover as well as for development and training purposes.
     

Undertake any other appropriate duties, commensurate with the role as required at the request of your line manager.

  • Educated to GCSE Level or equivalent Grade C English, or equivalent (e.g. National Adult Certificate Level 2 Literacy) and Mathematics Grade D or equivalent (e.g. National Adult Certificate Level 1 Numeracy)
  • Proficient Keyboard skills with IT experience of Microsoft Office packages
  • Knowledge of general office duties or business administration systems
  • Good communication and interpersonal skills with a good command and understanding of English, punctuation and grammar
  • Ability to work flexibly within a team and work under instruction
  • Ability to work quickly and accurately

Future prospects

Upon successful completion of the apprenticeship the apprentice will be able to apply for a substantive position at Gloucestershire Hospitals NHS Foundation Trust. Gloucestershire Hospitals NHS Foundation Trust reserves the right to terminate employment if the training requirements as detailed above are not achieved.
